Role:
The HR Assistant/Office Admin is responsible for coordinating office administrative services and assisting in HR duties for the Company. Job duties include scheduling new hires, updating personnel records, digital filing, contacting individuals to gather information, greeting guests and other office support services. This individual will help coordinate company meetings, training, events and travel. To be successful in this role, individuals will need to be organized, have strict attention to detail and complete work on time independently. Interested applicants need to be able to proactively solve problems and protect confidential/sensitive information.
Responsibilities:
- Update databases and records for personnel including submitting state new hire and EEO data reporting, updating organizational charts, phone directory, seating charts, etc.
- Create and file employment letters and respond to various employment requests.
- Assist in posting job openings, screening resumes and applications, scheduling interviews, requesting background checks and responding to candidate questions.
- Review new hire paperwork and assist in onboarding new hires answering questions related to company standards and procedures.
- Assist in standard company offboarding procedures.
- Support the Company’s training programs by communicating training schedules, updating records, answering questions, reviewing material and contacting instructors.
- Assist in employee benefit related requests with the help of the company’s Benefits advisors.
- Assist Accounting by entering in lien waivers and W-9’s with document imaging.
- Schedule and coordinate Company meetings, training, events and travel.
- Professionally greet and interact with employees, clients and guests through different avenues of communication.
- Provide general office support by ordering and stocking supplies, processing mail, managing deliveries and pick-ups, sending employee communication, maintaining workplace cleanliness and closing/opening the office.
- Work independently to meet deadlines and provide updates on specific projects as requested.
- Fulfill all other supportive office and HR administrative responsibilities assisting with various HR and company projects as needed.
Qualifications:
- Associate’s Degree, post-secondary certificate or Bachelor’s Degree in Human Resources is preferred. Would consider having 3 years of related HR and/or Office experience in lieu of degree.
- 1-2 years minimum experience in office or HR administrative work.
- A strong working knowledge of Microsoft Office Suite (Word, Excel, Forms, etc.) and other standard computer software.
- Must be organized and possess strong skills in data entry accuracy.
- Detail oriented with good problem-solving and teamwork skills.
- Must demonstrate sharp document management skills.
- Excellent written and verbal communication and interpersonal skills.
- Must be able to protect sensitive and confidential data.
This position is in-office, Monday - Friday 7:30am - 4:30pm.
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
Expected hours: 40 per week
