The Operations Manager at Staccato Ranch is a dynamic hybrid role responsible for purchasing, vendor
relations, accounts payable management, event financial support, administrative duties, and strategic
coordination with Staccato 2011. This position requires strong organizational skills, financial acumen, proactive
communication, and flexibility to support daily ranch operations as needed.

THE OPPORTUNITY
The Operations Manager at Staccato Ranch is a dynamic hybrid role responsible for purchasing, vendor
relations, accounts payable management, event financial support, administrative duties, and strategic
coordination with Staccato 2011. This position requires strong organizational skills, financial acumen, proactive
communication, and flexibility to support daily ranch operations as needed.
Responsibilities
- Lead end-to-end purchasing processes, including vendor sourcing, onboarding, credit applications, and PO management.
- Build and maintain vendor/item information within Epicor inventory system.
- Ensure accurate inventory item and SKU entry, maintenance, and management.
- Forecast demand and coordinate with vendors to ensure timely restocking.
- Monitor and manage stock levels of firearms, ammunition, accessories, and apparel.
- Ensure all firearms transactions comply with ATF, state, and local regulations.
- Maintain accurate ATF records of firearm sales, transfers, and background checks.
- Implement and enforce proper handling, storage, and documentation procedures.
- Conduct regular inventory audits to prevent shrinkage and discrepancies.
- Utilize EPICOR inventory management software to track and update stock levels.
- Oversee merchandise display and organization for an optimal customer experience.
- Support the monthly accounting close process by preparing inventory reports, reconciling stock levels with financial records, and collaborating with accounting personnel to ensure accurate reporting.
- Oversee timely processing and payment of vendor invoices, ensuring accuracy and alignment with POs and agreed terms.
- Assist in maintenance of accurate financial records, reconcile vendor accounts, and collaborate closely with accounting to manage cash flow effectively.
- Manage vendor contracts and logistics for ranch events (catering, rentals, transportation, decor).
- Handle vendor invoicing processes, including deposits, final billing, and reconciliation.
- Act as the financial liaison between vendors and internal teams, ensuring seamless event execution
- Assist with general administrative tasks, including member communications (inbound/outbound calls), departmental projects, and office organization.
- Collaborate cross-departmentally on administrative and operational projects, particularly those involving systems or financial processes.
- Oversee purchasing, inventory, and accounts payable specifically for interactions with Staccato 2011 and Staccato Vegas.
- Maintain close coordination with Peter Chen to balance purchasing requirements and cash flow strategically.
- Bachelor’s degree in Business Administration, Supply Chain Management, Accounting, or a related field (MBA or relevant certification preferred).
- 5 years of experience in operations management, with demonstrated expertise in inventory control, logistics, and accounting practices.
- Proven experience in implementing and optimizing inventory management systems (e.g., NetSuite, SAP, Fishbowl, etc.).
- Strong understanding of cost accounting, budgeting, and financial analysis.
- Experience developing and enforcing inventory accuracy and cycle count procedures.
- Knowledge of standard and lean manufacturing processes and their impact on inventory and financial performance.
- Strong analytical and problem-solving skills; ability to interpret financial data and identify operational inefficiencies.
- Proficiency in Microsoft Excel and accounting software platforms; experience with ERP systems is a plus.
- Excellent organizational, time management, and leadership skills, with a track record of driving results across departments.
- Ability to collaborate with cross-functional teams including finance, procurement, manufacturing, and warehouse staff.
- High attention to detail with a commitment to maintaining accurate records and compliance with internal controls.
