Job Title: Medical Records Coordinator
SCOPE OF POSITION
The Medical Records Coordinator is responsible for managing and maintaining patient medical records, ensuring timely retrieval, organization, and filing of documentation within the Electronic Medical Records (EMR) system. This position involves following up with specialists and hospitals to obtain necessary records, scanning and filing documents accurately, monitoring the EMR fax system, and fulfilling medical records requests while adhering to HIPAA regulations. The Medical Records Coordinator plays a crucial role in supporting patient care by ensuring records are complete, accurate, and readily available for providers.
KEY RESPONSIBILITIES
- Follow up with Specialists, hospitals and other health care facilities to obtain necessary medical records.
- Scan and electronically file paper medical records in the appropriate patient chart within the EMR system.
- Monitor the EMR fax system and electronically file records into patient charts.
- Fulfill medical records requests from external parties, including insurance companies, attorneys and patients, while ensuring compliance with HIPAA guidelines.
- Ensure all records are accurately maintained and organized in accordance with the practice policies and procedures.
- Comply with practice policies & procedures.- Adhere to HIPAA guidelines are met in all area's of work.
- Maintain quality service by enforcing organization standards.- Protect self, co-workers, and patients by following policies and procedures to prevent the spread of bloodborne and/or airborne diseases.
- Maintain a positive and friendly rapport with patients, staff and outside contacts.
- Contribute to team effort by accomplishing related results as needed- Any other administrative or clinical assistance as required by management
QUALIFICATIONS & SKILLS
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in a related field preferred.
- Prior experience in medical records management or healthcare administration preferred.
- Proficiency in using Electronic Medical Records (EMR) systems.
- Strong understanding of HIPAA regulations and patient confidentiality requirements.
- Excellent organizational skills with attention to detail and accuracy.- Strong communication skills, both verbal and written.
- Ability to work independently and as part of a team in a fast-paced environment.
