Job Summary:
The Mailroom Lead operates in a high volume payment/remittance processing environment. The Lead will insure that all State Contract Requirements are met and give direction to staff to fulfill these requirements. The Lead will directly supervise staff as it relates to Mailroom job tasks and workflow.
The Lead is responsible for the day-to-day handling of incoming mail, departmental workflow and security of Financial Instruments. The Lead must have excellent communication skills, ability to work independently, and be able to multi-task. The Lead follows very specific procedures to ensure this process is accurate and completed by contracted deadlines. The Lead will insure the work is complete in a timely manner and that all Financial Instruments are carefully handled.
Responsibilities:
- Oversight of the mail opening and scanning function
- Addresses the questions and concerns of staff
- Ensure employees are working on assigned duties
- Ensure all procedures / policies are being followed and contractual obligations are being met
- Ensure contract compliance through same-day mail processing
- Understand the workflow of the Mailroom and movement of payments, from receiving the mail through storage of source documents
- Ability to understand and operate an Opex machine
- Ensure security of Financial Instruments and that all payments are accounted for during daily processing
- Work closely with staff to ensure all Mailroom tasks are completed each day
- Ensure daily tasks are completed at the highest possible quality
- Work closely with Project Management team to analyze findings and improve work product
- Write new procedures and correct existing procedures, as needed
- Develop and present new work processes to the Project Management team to improve workflow
- Provide backup to other related departments as needed in the Lockbox area
- Provide support, guidance, and backup as needed
- Assist with training new staff
- Ability to perform estimated mail volumes, tracking statistics, and filling out required logs
- Monitor production of staff, including work quality and supply feedback to the Project Management team on performance of staff
- Ability to escalate issues out of the normal operation
- Delegation of tasks, as necessary
Required Qualifications:
Candidate will have:
- A High school diploma
- Previous lead worker/supervisory experience
- Previous experience managing workflow of a department
- Prior experience in a mailroom setting and/or payment processing center
- Ability to meet deadlines
- Attentive to detail
- Ability to problem solve independently
- Ability to motivate staff
- Ability to be flexible with changing work volumes

- Saturday - 6:30 am until work complete
- Sunday - OFF
- Monday - 6:30 am until work complete
- Tuesday - 6:30 am until work complete
- Wednesday - 6:30 am until work complete
- Thursday - 6:30 am until work complete
- Friday - OFF
