Administrative Assistant – Greenville, SC

Responsibilities
- Provide project-level administrative support, including organizing meetings, distributing information, and recording meeting minutes.
- Assistance with general office operations including ordering office supplies, managing service vendors, and assisting with general office operations.
- Act as a liaison for field staff as directed by management.
- Manage and control construction submittals and transmittals.
- Collect, review, and document reports, certifications, and other essential documentation.
- Enter project documents into the database.
- Perform daily office needs and miscellaneous clerical tasks.
- Answer the main office phone lines and greet guests.
- Maintain the calendar for conference rooms and pool vehicles.
- Assist with scheduling pool vehicle maintenance.
- Coordinate incoming and outgoing mail.
- Prepare conference rooms for meetings, including refreshments.
- Coordinate with the recruiting team to schedule in-person job interviews.
- Assist with new hire orientation and serve as a point person for new employee questions.
- Manage office supplies and CEI safety equipment.
- Check office mail and ship mail via USPS and FedEx.
- Perform other administrative duties as assigned.
Qualifications
- Strong computer proficiency (Excel, PowerPoint, Word).
- Adept at problem-solving, including timely issue identification and resolution.
- Strong interpersonal skills.
- Clear communication skills, both written and oral, for effective interaction with employees, management, and during group presentations and meetings.
- Ability to effectively read and interpret information, present numerical data resourcefully, and gather and analyze information.
- Ability to prioritize and plan work efficiently.
- Organized, accurate, thorough, and able to monitor work for quality.
- Dependable, able to follow instructions, respond to management direction, and improve performance through feedback.

Education and Experience Requirements
- A high school diploma is required; higher education is desirable.
- Prior experience working for an AEC firm is preferred.
Work Environment & Physical Requirements
This position predominantly involves up to 8 hours per day at a computer workstation, with occasional standing and walking. The employee may occasionally lift lightweight office supplies and materials, typically not exceeding 20 pounds. The office environment is indoors, characterized by controlled temperatures and minimal exposure to adverse conditions. Employees must have the ability to visually discern and differentiate details and colors of objects, and proficiency in recognizing sound, tone, and pitch. Clear and effective verbal and written communication skills are necessary. The role demands adaptability to interruptions and changes in workflow, as well as the capacity to sit for extended periods.
Expected Hours of Work
The ICE offices are open from 8:00 a.m. to 5:00 p.m., Monday through Friday, allowing an unpaid hour for lunch daily. Work schedules may vary according to the project schedule. This is an onsite position reporting to the ICE office 5 days per week.
