Job Title: Extended Learning Program Manager                             Schedule: 40 hrs/week

Job Type: Full-Time, 12-months                                                       FLSA Status: Non-Exempt

Reports to: School Principal                                                             Pay: $66,560, Starting; Salary Schedule

Special: May require weekend work, nights and early mornings, as needed

POSITION SUMMARY:

The ideal Extended Learning Program (ELP) Manager wholeheartedly believes in and is passionate about Ingenium Schools’ mission and vision and exhibits this passion through active leadership, earnest reflection, tireless execution, school culture and operations initiatives, execution, and improvement, and network-wide collaboration systems to ensure student and staff success.


ESSENTIAL FUNCTIONS & JOB DUTIES:

Administrative

  • Responsible for managing after school office services by ensuring office operations and procedures are organized, correspondences are controlled and timely communicated, filing systems are designed and followed, and that clerical functions are properly assigned and monitored
  • Ensure procedures are in place (and policies are followed) for honoring/following the laws regarding student/staff confidentiality and privacy rights
  • Supervise classified employee hours, ensuring that timesheets are timely tracked and approved; monitor employee hours ensuring compliance with CA meal and rest break laws
  • Proactively coordinate meetings with the principal and other directors/chiefs to ensure proper support, safety and compliance for students and staff
  • Supervise, train, and oversee the accurate and timely completion of duties after school employees, ensuring the program leads have access to developed systems and procedures and assisting in the creation of procedures, when missing
  • Oversee and manage (if needed) external vendor relations for special events and/or services
  • If bilingual, assist with academic translations/interpretations 


Operations

  • Ensure active participation and preparation, attending all mandatory meetings, retreats, and trainings
  • Monitor and report to the principal on all key performance indicators within the position’s area of control and oversight
  • Oversee, monitor, manage and develop systems for the maintenance, storage, and security of all student files; inputting and maintaining student data and daily attendance; creation of statistical and classification reports at the end of the month, including monthly attendance report, behavior report and academic report
  • Participate in hiring, termination, coaching/evaluation, and supervision of classified employees; Serve as direct report for all classified employees and serve as direct support for all teacher needs
  • Oversee and support after school systems for the accurate record keeping of staff assets, including keys, computers, curriculum, etc.
  • Oversee and support systems for school-wide financial management: Maintaining petty cash and credit card purchases, purchase orders and paid time-off requests
  • Oversee and support school-wide systems for securing substitute/staff coverage 
  • Manage daily site and school emergency issues while ensuring the learning environment remains positive and productive
  • Develop, document, and train employees on after school systems regarding school emergency protocols, including the creation, dissemination and teaching of the School Safety Plan, Health and Safety Plan, Emergency Plans, Wellness Plan, Bloodborne Pathogen, Mandated Reporter, and all other health/safety plans required by law, the school’s authorizing district, or the school’s charter


Parent Community Engagement

  • Greet and assist parents, students, and visitors in a friendly and professional manner, providing excellent customer service
  • Responsible for overseeing after school communication systems, including monthly newsletters, all parent correspondence, staff correspondence, and other mailings
  • An active participant in the creation and facilitation of after school enrollment systems, marketing, and student recruitment, events, orientations, etc., making needed changes, leading initiatives, and developing a monthly recruitment plan that engages staff, parents, and students 
  • Oversee and support the facilitation and coordination of all after school events, including but not limited to: New student orientations, back to school night, parent/teacher conferences, etc.
  • Manage, develop, implement, and train employees on systems for school behavior supports in line with Ingenium Schools’ philosophy in supporting student behavior
  • Participate in daily student behavior monitoring, ensuring timely follow-up with parents, conducting student, parent, and teacher conferences involving matters related to discipline and attendance, and implementing systems and initiatives to improves student behavior and attendance
  • Responsible for developing and supporting safe, healthy, school culture initiatives and supporting with the creation of events and initiatives to support the organization and school’s socioemotional calendar


Student Support Engagement

  • Oversee and support student field trips, accounting for liability and other safety considerations
  • Implement, model and enforce policies and practices as they relate to student behavior support systems and tier 1, 2, and 3 behavior support systems and other MTSS initiatives
  • Respond to, investigate, and address parent/student/staff complaints involving parent/student/staff behavior and document, manage and report on student discipline data
  • In conjunction with the principal, and as needed alone, conduct parent conferences for student behavior support/attendance-related issues, as needed
  • Oversee and develop student mediation/conflict resolution programs
  • Assume responsibility for the overall safety and well-being of all students


Academic Success

  • Daily, weekly, and monthly monitor student attendance, developing and/or creating procedures, protocols, and/or systems to continually improve and ensure an acceptable average ADA in partnership with the teachers, students, and parents
  • Monitor and oversee student academic enrichment by program leaders, ensuring adequate participation and assignment completion
  • Support the aims of the SIP
  • Maintain a school goal folder that sets, with the assistance of the principal, after-school-wide learning goals and action plans and tracks progress


Special Duties

  • Demonstrate knowledge of, and support Ingenium Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the Code of Conduct
  • Attend all professional development, board meetings (as needed), all leadership meetings, and site admin meetings (as necessary)
  • Provide coaching, training and planning support for all classified staff
  • Other general duties/projects as assigned and needed


JOB QUALIFICATIONS:
EDUCATION/EXPERIENCE:

  • B.A./B.S. degree preferred
  • 2-3 years of Management experience and 3 years of Customer Service experience preferred

KNOWLEDGE/ABILITIES:

Must have the ability to demonstrate and/or show competency in the following areas:

  • Bilingual in Spanish preferred
  • Intermediate proficiency in Microsoft Word, Excel, Google Suite, Trello and/or other project management and data software
  • Ability to problem solve and use proper judgment
  • Correct English usage, grammar, spelling, punctuation and vocabulary
  • Oral and written communication skills
  • Interpersonal skills using tact, patience and courtesy
  • Intermediate proficiency in Student Information System or PowerSchool knowledge desired
  • Excellent management and organizational skills and a positive attitude

  • Information ordering and category flexibility skills

 

PHYSICAL DEMANDS:

  • Lift 40 pounds using proper technique
  • Must have adequate vision to effectively review documents in varied formats i.e. paper and digital
  • Must have adequate hearing to respond to members and interact with the public
  • Sitting or standing for extended periods of time
  • Ability to view and review a computer screen and use a laptop computer for extended periods of time
  • Dexterity of hands and fingers to operate a computer keyboard
  • Ability to document information, typing and writing throughout the day
  • Bending at the waist, kneeling or crouching
