JOB SUMMARY This position assists the athletic director or designee by providing administrative, secretarial, record keeping, and other support services to administration, students, staff, parents, and the public.
DUTIES AND RESPONSIBILITIES This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved.
- Responsible for maintaining all athletic records, using a variety of sources.
- Assists in managing student athletic eligibility including, but not limited to: registration, physical exams, WIAA eligibility, academics and attendance.
- Tracks coach compliance with WIAA and NSD employment requirements and training.
- Liaison with Athletic Departments at other schools, as well as with other Athletic and ASB Secretaries, and with other NSD Departments, specifically Transportation and Facilities.
- Coordinates practice times, game schedules and facility use for all athletic teams. This includes those events that are rescheduled due to rainouts and event cancellations, as well as all tournaments and post-season games.
- Makes field/building reservations for team practices and games.
- Coordinates staffing for various sports as needed.
- Schedules transportation for away games. This includes both bus transportation and use of district/school vans.
- Communicates league information and distributes materials to coaches, staff parents/guardians and students as necessary.
- Maintains and updates school Athletic web pages.
- Assists in day-to-day management of coach, Athletic Director, parent and student needs and concerns.
- Coordinates the updating of banners & awards displayed within the school building.
- Coordinates end of season events with coaches, provides plaques, and schedules banquets.
- May provide back up for other office staff as appropriate.
REPORTING RELATIONSHIP
Reports to the Athletic Director or designee.
WORKING CONDITIONS Works in office environment; frequent interruptions; daily exposure to visual display terminal; exposure to infectious diseases; may need to sit for prolonged periods; may be required to deal with angry or distraught students, staff, and parents.
MINIMUM QUALIFICATIONS
Education and Experience
High School Diploma or equivalent with three years of related experience, pertinent training, and/or some combination thereof.
Allowable Substitution
Training in secretarial procedures or record-keeping may substitute on a month-to-month basis for the required experience.
Knowledge, Skills, and Abilities
Knowledge of general secretarial procedures; knowledge of correct grammar, spelling, and English usage; ability to operate office equipment; ability to organize and set priorities; ability to work independently with minimal supervision; ability to coordinate assignments from multiple staff members and programs; ability to read, write, speak, and compute effectively; ability to oversee the work of students; ability to exercise independent judgment, remain flexible, and work effectively under pressure; ability to maintain confidential information; ability to interact with adolescents in a warm, confident manner; ability to establish and maintain effective working relationships with staff and the public.
SALARY: Salary is based upon the current 2024-25 NEOPA Salary Schedule Salary (Level F); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt.
WORK YEAR: 217* days per year, 7.0 hours per day
*In the 2024-2025 and 2025-2026 school years, the work year of each NEOPA employee who works a calendar greater than 195 days shall be reduced by three (3) days from the work years listed in Appendix B-1 and B-2.
