Your Impact
The Administrative Assistant for Inglis Community Services has the primary responsibility to provide administrative support to the Directors of Inglis Community Services programs. He/she plans, develops administrative systems, processes and procedures to improve the operating quality and efficiency of the community-based programs. This includes tracking documentation related to employee hiring and ongoing compliance expectations, assisting with billing for services, and monitoring communication portals such as emails and web-based requests for service. Additionally, this position supports the operations of the Inglis Innovation Center in Philadelphia. Duties are performed to ensure compliance with regulatory agencies and meeting quality and billing expectations. All essential job responsibilities will be executed in accordance with Inglis Administrative policies, ethics and guidelines.

What You'll Do
- Is present in the IIC at the front desk daily 8:30am – 4:30pm M-F.
- Compiles billing information to be sent to Business Office for billing and claim submission for all ICS programs as needed.
- Monitors employee records to ensure background checks and certifications/licenses are current and annual training expectations are met.
- Monitors CHC-MCO systems for service authorization, which indicates the specifics of providing services, prior to rendering services or billing for services.
- Monitors incoming mail, email, phone, and web-site requests for information and services. This position is expected to then forward the request or information to the appropriate program staff in a timely manner.
- Compiles marketing materials for Innovation Center tours and ICS program participation in events (conferences, recruiting, outreach)
- High School Diploma required but a bachelor’s degree is preferred.
- Minimum of two (2) years relevant experience.
- Has advanced word processing, spreadsheet, and presentation skills
- Knowledge of Community Behavioral Health (CBH), Office of Mental Health and Substance Abuse Services (OMHSAS) Department of Human Services Office of Long Term Living (OLTL) and Department of Aging Services and Supports Waivers preferred.
- Knowledge of licensing, auditing, and accreditation processes preferred.
- Excellent communication skills (written and oral).
