Job Description
The Accounts Payable Manager performs all secretarial, informational and record keeping tasks appointed by the Payable Manager and ensures a timely submission of supporting documents for purchase transactions by the company with internal and external clients. The Accounts Payable Manager is responsible for maintaining records for all billable concerns that are carried out by the company, by its employees within all divisions.
What You’ll Do (Functions & Responsibilities)
- Manage a team responsible for the processing of over 30,000 vendor accounts, ensuring that all invoices, payments, and vendor communications are handled effectively.
- Oversee the management of 100,000 payments annually, ensuring that payments are accurate, compliant, and made within agreed-upon timelines.
- Supervise the processing of 10,000 employee expense reports annually, ensuring adherence to company policies and addressing any discrepancies or issues promptly.
- Administer and reconciling P-cards, overseeing proper usage, reconciliation, and compliance with corporate policies.
- Lead the accounts payable team in the use of Concur for expense reporting and NetSuite for general ledger integration, ensuring system accuracy and efficiency.
- Develop and maintain effective relationships with vendors, internal departments, and employees, ensuring clear communication and resolution of any payment or expense-related issues.
- Ensure timely and accurate month-end and year-end closing processes, including proper accruals and documentation for financial reporting.
- Implement, maintain, and improve AP processes and controls to streamline operations, reduce errors, and improve compliance.
- Assist with audits by providing necessary documentation and supporting data for internal and external auditors.
- Generate and analyze reports related to vendor activity, payments, employee expenses, and P-card transactions, providing insights and recommendations to senior management.
- Manage and mentor the accounts payable team, fostering a collaborative and high-performance work environment.
- Stay updated on changes to industry standards, tax regulations, and compliance requirements, ensuring the company’s accounts payable function remains in compliance with applicable laws and regulations.
