The Administrative Assistant II is responsible to support the Senior Director or above in the Health Services division to complete projects and generally coordinate the daily functions as they relate to senior leadership’s responsibility for overall health plan administration. Exercises discretion and independent judgment in matters of importance.

- Perform a broad range of administrative duties for senior leadership, use initiative and judgment in handling sensitive and confidential details.
- Exercise independent judgment and discretion in such tasks as scheduling appointments, receive and screen visitors and telephone calls. Rely on experience and judgment to plan and accomplish goals.
- Maintain and control confidential files and records, prepare all required reports and correspondence.
- Maintain appointment schedule, distribute all directed correspondence, and establish priorities with Executive Director on a daily basis.
- Develop and maintain an appropriate system for electronic filing key documents and presentations.
- Coordinate meetings. Attend (as needed), take minutes, and set up/cleanup of conference rooms.
- Exercise considerable discretion and finesse in dealing with contacts to effectively carry out the internal and external relationship of the Executive Director office.
- Maintain a positive and professional attitude at all times, act as a model for others to emulate. Work with other AA’s to organize joint projects and meetings as necessary.
- Complete other duties as assigned by senior leadership.
- Three (3) years of relevant experience
- Demonstrate superior interpersonal and administrative skills commensurate with years of experience
- Experience in Microsoft office application such as Excel, PowerPoint, etc.
- High school diploma or GED required
Key Qualifications
- Excellent interpersonal and communication skills
- A minimum requirement of 55-60 wpm
- Proficient in note taking
- Demonstrated proficiency in Microsoft products: Word, Excel, Power Point, and Access, sufficient for use in all aspects of an office environment
- Extremely organized, with sharp attention to detail
- Strong work ethic and possess a willingness and ability to learn
- Ability to establish and maintain effective working relationships both within and outside of the organization
- A wide degree of creativity and latitude is expected
