What are the responsibilities and job description for the Patient Access Registrar position at Inland Imaging Clinical Associates?
The Patient Access Registrar is a Full-Time, Regular position working Monday-Friday, 8:30am-5:00pm at our Providence Medical Park location.
Summary: Greets and welcomes all patients and visitors presenting a friendly, courteous and professional image. Checks in patients with ordered exam, checks for previous related studies, collects patient payments, answers phones and ensures a smooth patient flow.
Essential Duties / Responsibilities:
- Provides high level of customer service by:
- Greets and welcomes all patients and visitors
- Ensures all patients are registered and “arrived”
- Patients requiring assistance are provided assistance as needed
- Keeps a clean work area to represent the professional image of Inland Imaging
- Patient Registration – collect all demographic and billing data – check insurance eligibility
- Work on locating patient’s insurance info if they do not have it with them
- Print out payment estimator form, answer any patient questions and ask if the patient would like to make a payment
- Process patient payments utilizing Zirmed payment system
- Schedule walk-in patient exams
- Prepares paperwork for patient exams in advance, including add on’s, and give the paperwork to appropriate modality
- Linking orders to patient exams
- Utilize PayNav to check patient insurance eligibility – front desk and prior eligibility process
- Interpreter check in through Universal Language Service
- Identify patient orders in the Clerical Worklist – check insurance eligibility
- Create prior Auth Orders for MRI and CT exams
- Call referring offices to obtain orders not found
- Work with all departments to ensure smooth patient flow and care
- Answer phones and assist callers
- generates reports as requested by referring provider offices
- Burns patient exams and reports onto CD’s to be given to patients and referring provider offices
- Coordinate with UPS for next day mail service requests
- Locates and obtains previous related exams for upcoming appointments
- Load discs that have been requested for previous and resolve exceptions
- Push images from Isite to other medical facilities
- Document scanning and resolving of paperwork to patient accounts
- Pacscan reports to patient time line for previous
- Pull prior studies over to our PACs system from Carestream
- This position may be required to work in a hospital, urgent care or clinical setting.
- Performs other duties as assigned
Holy Family Clerical Specialist: In addition to the above responsibilities, the Holy Family Clerical Specialist will perform the following job requirements:
- Scheduling Inpatient and ER exams utilizing EPIC
- Downtime scheduling process for IP/ER exams
- Scheduling PSA x-rays
- Scheduling Medical Examiner cases
- Scheduling Pain Injection exams
- Understand Tube System
- Understand Nurse Alert phone
- Knowledge of where the different Departments and Floors are located at the Hospital
- Knowledge of what exams/procedures are done in the different Hospital departments
- Knowledge of the different Hospital Codes and how to respond to them
- Preparedness and understanding of Hospital inspections and what the different inspectors are looking for
- Preparedness and understanding of Hospital Drills – Fire Drills, Amber Alerts
- Knowledge of what Hospital departments respond to what issues at the Imaging Center – Bldg Operations, Environmental Svcs, Grounds, Security, House Supervisor
- Creatinine Process
- Back-up Operators – Knowledge and ability to answer busy phone system for both Inland Imaging and Holy Family Hospital calls
- Screen and transfer phone calls appropriately – Outpatient, Inpatient, ER, Referring Physician and internal phone calls
- Coordinate with Admitting on special procedures to obtain stickers
- Cover positions for mandatory holiday rotations
- Cross-training of up to 6 positions
- Assist Hospital Medical Records Dept when requesting reports or records
- Type consent forms for all interventional procedures
- Call in on-call techs for after-hours exams
- Assist and work with volunteers at front entrance volunteer desk
- Wheelchair accountability – track down throughout the hospital when they disappear

- Rotates to other shifts and locations as needed

Qualifications:
- Education: High School Diploma/GED required
- Experience: One year of clerical experience desired
- Communication and interpersonal skills
- Anatomy and medical terminology – preferred
- Medical office experience preferred
- Understanding of all procedures to be read by radiologist – preferred
- Computer Skills: Experience with the following computer applications is highly desired: Outlook; Workday; PACS ; Medicalis; PayNav; ; Zirmed; EPIC; Web Portals.
