Summary:

The Fleet and Maintenance Manager is responsible for overseeing the maintenance and repair of all company vehicles, equipment and properties, ensuring safety and compliance with regulatory standards. This role includes managing a team of mechanics, scheduling maintenance activities, monitoring fleet performance, and coordinating logistics to minimize downtime and maximize fleet productivity Reports to the CEO.

Qualifications:

High school or equivalent education. Proven experience (typically 3 years) in fleet management, vehicle maintenance, or a related field ; Strong leadership and team management skills; Ability to work under pressure and manage multiple tasks simultaneously; Strong problem-solving and decision-making abilities; Excellent organizational, communication, and interpersonal skills. Valid California Driver’s License and evidence of insurance coverage; current CPR and First Aid certificates. Professional appearance. Must pass criminal background check.

Duties and Responsibilities:

  • Lead and supervise a team of maintenance technicians, ensuring high standards of workmanship and efficiency.
  • Provide training and development to the maintenance team to ensure they stay up to date with industry best practices and regulatory changes.
  • Assign tasks and ensure proper utilization of resources and equipment
  • Supervise and ensure regular maintenance and repairs for the fleet of vehicles and machinery, including trucks, vans, and specialized equipment.
  • Develop and implement a preventive maintenance schedule to reduce downtime and extend the lifespan of fleet assets.
  • Coordinate with external vendors and service providers for repairs, parts, and specialized services when necessary.
  • Ensure all vehicles comply with local, state, and federal regulations, including safety inspections, emissions testing, and licensing requirements.
  • Keep detailed records of maintenance, repairs, inspections, and regulatory compliance activities
  • Fulfill or delegate all maintenance tickets in a timely manner. Respond promptly to Maintenance X requests, troubleshooting issues, and coordinating repairs.
  • Assist with project planning, including budgeting, resource allocation, and scheduling.
  • Collaborate with stakeholders to support new construction, renovation, or facility improvement projects.
  • Coordinate with contractors, architects, and other professionals to ensure projects meet timelines and specifications.
  • Monitor progress and report updates on project milestones and potential risks to the CEO.
  • Ensure new buildings or facility changes align with organizational goals and safety standards.
  • Grounds maintenance and upkeep of all facilities, and subcontract work as directed by the CEO.
  • Manage contracts with external vendors for specialized maintenance and repair services.
  • Make repairs to buildings and equipment.
  • Coordinate work with facility landlords as necessary.
  • Move furniture and equipment.
  • Maintain fleet maintenance records and be prepared for all DOT and other inspections.
  • Monitor driver safety program and report driving incidents to program coordinators and/or HR
  • Order supplies as requested or needed.
  • Serve as an active member on the Safety Committee.
  • All other duties deemed necessary and appropriate by CEO.
  • Maintain a positive and supportive attitude.
  • Maintain a professional appearance.
  • Attend all required agency staff and training meetings.
  • Adhere to policies and procedures regarding absences and tardiness.
  • Ensure the highest level of service is provided to the people we serve.
  • Promote a culture of safety, sustainability, and continuous improvement.
  • Maintain client confidentiality in compliance with federal guidelines, including HIPAA regulations.
  • Adhere to staff Codes of Ethics and Conduct.
  • Adhere to policies and procedures set forth for agency and accounting department.
  • Adhere to safety and housekeeping standards established by IVRS.
  • Must have knowledge of federal, state and local laws, rules, regulations and standards governing all services provided by IVRS.

Job Type: Full-time

Pay: From $850,000.00 per year
