Responsibilities:
As our Front Desk receptionist, you will be essential in ensuring the smooth operation of our practice by performing the following tasks:
- Greet and assist clients and visitors with warmth and professionalism, creating a welcoming atmosphere.
- Manage client check-ins and check-outs, ensuring accurate record-keeping.
- Address client inquiries in a courteous and professional manner, providing helpful information and solutions.
- Coordinate with the team to maintain smooth scheduling and an exceptional client experience.
- Schedule appointments and manage referral appointments efficiently.
- Obtain insurance authorizations, ensuring proper documentation and communication with insurance providers.
- Handle phone calls, emails, walk-ins, and faxes, providing prompt and accurate responses.
- Maintain organized records, ensuring information is up-to-date and easily accessible.
- Manage inventory, order office supplies as needed, and maintain a well-stocked reception area.
- Perform light cleaning tasks to ensure a clean, pleasant, and inviting office environment for clients and staff.
- Provide administrative support as needed to contribute to the practice's overall efficiency and organization.
- Collaborate with the team to create and sustain a welcoming and supportive environment for clients and clinicians.
Requirements and Qualifications:
- Education: Minimum of a high school diploma or equivalent.
- Customer Service: Proven excellent customer service skills with the ability to maintain a professional demeanor.
- Organization: Strong organizational and time management skills, ensuring smooth daily operations.
- Attendance: Reliable and punctual attendance to maintain consistent support for the team and clients.
- Communication: Excellent verbal and written communication skills to effectively interact with clients, staff, and management.
- Teamwork: Positive attitude and a collaborative team player, contributing to a supportive work environment.
- Technical Skills: Proficiency in using computers, scanning documents, word processing, and spreadsheet software.
- Transportation: Must have reliable personal transportation to and from the office.
