Job Summary
We are seeking a detail-oriented and organized Office Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong administrative skills and be proficient in various office management tasks. This role is essential for ensuring smooth daily operations, managing schedules, and providing exceptional support to both staff and clients.

Responsibilities

  • Manage and maintain office calendars, scheduling appointments and meetings as needed.
  • Answer phone calls with professionalism, demonstrating excellent phone etiquette while directing inquiries appropriately.
  • Perform clerical duties such as filing, data entry, and document preparation to ensure efficient office operations.
  • Utilize QuickBooks for basic bookkeeping tasks, including invoicing and expense tracking.
  • Proofread documents for accuracy and clarity before distribution or filing.
  • Oversee front desk operations, greeting visitors and ensuring a welcoming environment.
  • Assist with general office management tasks to maintain an organized workspace.
  • Collaborate with team members on various administrative projects as required.

Qualifications

  • Proven experience in an administrative or office assistant role is preferred.
  • Strong proficiency in calendar management and organizational skills.
  • Familiarity with QuickBooks or similar accounting software is a plus.
  • Excellent proofreading skills with attention to detail in written communication.
  • Proficient in using phone systems and maintaining professional phone etiquette.
  • Ability to perform clerical tasks efficiently while managing multiple priorities.
  • Strong interpersonal skills with the ability to work collaboratively within a team environment.
