We’re seeking a high-energy, detail-oriented professional to take on a dual-role position as both Director of First Impressions and Transaction Coordinator for a highly innovative Keller Williams Real Estate Office in Ocean Isle (KW Innovate). This individual will be a key player on our team, managing the front office experience while also overseeing the administrative flow of real estate transactions from contract to close.
In this role, you will create a welcoming and professional environment as the first point of contact for agents, clients, and visitors. You will handle daily office operations, manage communication, and support the leadership team and agents with a variety of administrative tasks. At the same time, you will ensure the smooth execution of all real estate transactions by coordinating closing activities, tracking important deadlines, and communicating with agents to keep everything on schedule.
The ideal candidate is relationship-focused, organized, and thrives in a fast-paced environment. You are confident juggling multiple responsibilities, have a strong sense of ownership, and always bring a positive, solutions-oriented attitude. Previous experience in real estate, office management, or transaction coordination is preferred, and comfort with technology is a must.

What you will do…
- Perform front office duties including greeting people, answering phones, distributing mail, and conference room scheduling.
- Assist leadership team with Market Center operations and various administrative functions such as compliance for transactions.
- Help to share Market Center value story and participate in the retention efforts of current associates
Essential Duties and Responsibilities
- Perform front office duties: manage a multi-line phone system, monitor office email, greet agents and guests, manage appointments and calendars, receive and sort mail and packages.
- Perform opening and closing duties as required
- Perform various administrative duties: input agent's listings on MLS, compile listing/marketing packets, daily compliance checks
- Maintain appearance and organization of reception and common areas
- Assist with office communication (email & text blasts, social media)
- Organize, coordinate and attend KW events and training's
- Contribute to agent retention
Required Knowledge, Skills and Abilities

- Commitment to relationship building, follow-up, and top level customer service
- Tech Savvy - skilled with Microsoft Office, Google Suite, Mail Chimp, Constant Contact, social media platforms

Required Education and Experience
- High school graduate or equivalent required
- 1-2 years customer service or administrative assistant experience
- Knowledge of real estate practice and principles a plus!
