Job Summary:
The Office Assistant will play a crucial role in ensuring the smooth operation of the Packaging Laboratory by performing administrative, clerical, and customer service tasks. This position involves supporting laboratory staff, maintaining records, handling communications, and contributing to the efficiency and organization of daily laboratory operations. The ideal candidate is organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
- Administrative Support:
- Assist laboratory staff and management with administrative tasks.
- Maintain and organize laboratory files and management systems (logs)
- Data Entry and Record Management:
- Input and update data in laboratory management systems and spreadsheets.
- Assist in tracking inventory, lab supplies, and equipment.
- Office Operations:
- Ensure the office area and common spaces (e.g., break room, meeting rooms) are tidy and well-stocked.
- Maintain inventory of office and laboratory supplies.
- Daily maintenance of laboratory equipment
- Point person for packaging, shipping and receiving samples
- Clerical Tasks:
- Organize and maintain appointment calendars and documentation systems.
- Other Duties:
- Perform any other related tasks as assigned by the Department Manager/Supervisor or other senior staff.
- Responsible for ensuring all trash is collected and disposed of in the designated area regularly
Qualifications:
- Education: High school diploma or equivalent; associate degree or coursework in office administration is a plus.
- Experience: 1 year of experience in office administration or a related field, preferably in a laboratory or technical environment.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (printers, scanners, copiers).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in record-keeping.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Previous experience in a laboratory or manufacturing environment.
- Knowledge of basic packaging industry processes and terminology.
- Familiarity with laboratory management systems (LIMS) or other specialized software.
Working Conditions:
This position is typically performed in an office setting within the packaging laboratory, with occasional interactions in the lab environment. Some light lifting of office supplies or lab samples may be required. This position requires 5 days in the office. local candidates preferred.
