Overview

RESIDENTIAL HOUSE MANAGER

Job Summary:

The Residential House Manager will oversee the facility and program. This includes supervising staff, developing relationships with guardians, support coordinators, Innovative Harbor staff and other agencies. The Residential House Manager will also provide direct support to clients with daily living activities in the Innovative Harbor Residential Care Facility.

Supervisory Responsibilities:

  • Responsible for creating and maintaining positive, client centered culture.
  • In cooperation with Residential Manager, ensures compliance with state and contract standards for the program.
  • Attend and participate in all residential management meetings. Coordinate information between management and Program Assistant.
  • Responsible for hiring, managing and scheduling all staff to make sure that home is staffed appropriately and all required ratios are met.
  • Develop and maintain staff schedules. This will be done with assistance from the Program Assistant.
  • Enter all scheduling information to Connecteam.
  • Verify all shifts/notes/payroll information on Connecteam.
  • Follow up with staff to ensure payroll information is timely and accurate.
  • Review and approve staff notes for payroll and reporting.
  • Develop curriculum and supervise staff to ensure every individual is provided with and completes quality training.
  • Responsible for completing all onboarding paperwork/document uploads/compliance training with new staff before they begin working shifts and once employment begins.
  • Attend and support all staff meetings. Develop agenda in coordination with Assistant.
  • Create and maintain client specific training for each client. Update as needed. Coordinate and document that all staff complete on regular basis
  • Schedule 12 one hour direct support specific training/year for staff.
  • Responsible for documenting and uploading all proof of attendance and training.
  • Coordinate with Residential Director and HR with staff discipline.

Duties/Responsibilities:

  • Serve as the expert for each client’s needs. This requires:
  • Primary contact for client families. Provide weekly communication with all families.
  • Primary contact for behaviorists.
  • Responsible for all behavior tracking
  • Monitor, supervise and participate in Person Centered Service Plans and Behavioral Service plans.
  • Primary contact for day to day interaction with all day programs. This includes client scheduling and behavior management.
  • Responsible for support strategies.
  • Coordinate with the Residential Director to submit all Incident Reports within 24 hours of the incident.
  • Oversee all medical needs for clients.
  • Schedule and attend all appointments with providers (Nail clipping can be done by staff. All other appointments must be attended by Residential House Manager)
  • Complete post appointment forms
  • Communicate all necessary medical care information to staff and Assistant
  • Responsible for all pharmacy communication
  • Verify pharmacy orders are correct. Prepare all medication for distribution.
  • Monitor stock and order all medical supplies (chucks, briefs, gloves, masks, etc)
  • Responsible for financial management
  • Rep payee-with supervision from Residential Director
  • Review/update checkbook registers for each transaction
  • Scan receipts and submit them to the Residential Director. Verify both client and staff have signed.
  • Learn how to complete client statements.
  • Become proficient to administer PBA if manager is unavailable
  • Quarterly financial reviews
  • Monthly financial statements
  • Maintains all required documentation.
  • Work directly with clients and staff
  • Maintain regular direct support hours to interact with all clients and staff at various times of day.
  • Fill in shifts when needed. This includes shifts outside of your usual hours.
  • Responsible for all day time hour coverage if a client is home from a program.
  • Be present when clients leave for the day and when they return each day. Support staff during transition times. Be available and aware of Day Program activities/behaviors.
  • Coordinate and perform graveyard spot checks on a regular basis. Can do this in conjunction with the Assistant.
  • Develop strong, professional relationships with clients and staff
  • Maintain strong and effective relationships with other Innovative Harbor employees and other agencies to develop and maintain a strong program.
  • Serve as a representative of Innovative Harbor in community and other agency settings.
  • Responsible for all applicable facility operations.
  • Point of contact for property management companies.
  • Responsible for rent payments
  • Coordinate maintenance needs.
  • In conjunction with the Residential Director, work with Housing for housing inspections
  • Other duties as assigned.

Required Skills/Abilities:

  • Must possess a strong service orientation, including active listening, critical thinking skills, problem solving abilities, and ability to closely monitor clients.
  • Proficiency in basic computer skills.
  • Positive attitude
  • Patience in difficult situations
  • Basic money management/accounting skills
  • Excellent time management skills

Education and Experience:

  • High school diploma or equivalent required.
  • Successful completion of the Innovative Harbor New Employee Training requirements.
  • Driver’s License
  • Cleared DACS Background Check

Physical Requirements:

  • Prolonged periods of standing, bending and lifting.
  • Must be able to lift up to 50 pounds at times.
