JOB SYNOPSIS
Under general supervision, the employee provides customer service and support for clients of the agency by performing specific duties as outlined below.
JOB QUALIFICATIONS
· Health and life insurance agent is preferred, but not required. Must obtain a Health and Life license within 90 days of employment.
· Prior customer service preferred.
· Must be proactive, flexible, team player who is comfortable working in a small company environment, taking on multiple responsibilities.
· Maintains a strong work ethic, while keeping the best interests of the company in mind.

SPECIFIC DUTIES
Clerical Duties
· Answers telephone, assist customers with claims, cards, service issues, manage changes in our benefits systems,
· Running errands as needed for the office. General office duties, ordering supplies/put away as needed, keeping paper in machines, office tidy.
· Maintains knowledge of key clients and contacts and uses software to record client activity.
· Sets up and maintains files, materials, information, schedules, and related data.
· Writes and prepares letters, memos, e-mails, and reports in draft and final form.
· Proofreads and edits materials to ensure high quality communications.
· Researches and provides information materials, such as electronic data (Internet) for projects and special assignments.
Client-Customer Service Duties
· Responds in a timely manner to questions regarding benefits from business owners, group administrators, and employees.
· Receives, processes and updates incoming group information into the benefits software system in order to keep records up-to-date and information readily available for responding to clients in a timely manner.
· Submits benefit enrollments, terminations, and changes, to insurance carriers using both the benefits software system and paper forms for groups not using the software as needed. Manage the changes in our benefit systems to ensure completion by carrier and note completed.
· Contacts newly hired employees of group clients to communicate benefit options and advise of the enrollment process, at the client's request.
· Prepares and mails State Continuation forms to terminated employees (for groups not subject to COBRA), at the client's request.
· Assist with mailings to clients.
· Addresses and reconciles billing discrepancies, at the client's request.
· Assists with claims resolution.
· Assists employees with the benefits software system online enrollment, both during and after open enrollment meetings.
· Follows up with employer/employees on outstanding questions from enrollment meetings.
· Ensures all employees successfully enroll or waive benefits.
· Obtains and communicates insurance carrier identification information to the employer and employees.
WORK ENVIRONMENT
Work is generally performed in a modern, climate-controlled office setting.
JOB REQUIREMENTS AND COMPENSATION/BENEFITS
This is a full-time position. Salary will be determined based upon qualifications and experience. Other compensation details are as follows:
- This position requires that you work full-time, five days per week in our office in Kenbridge, VA with travel between client worksites, as required by client meetings and projects; and
- This position generally is not eligible for telecommuting or working from home.
