Executive Assistant and Office Manager
Location : Atlanta, GA (Northside Drive and I-285)
Reports to : CEO
Position Overview
Our client, a family run management group, is adding an Executive Assistant to their team. This role supports the CEO by managing executive administrative tasks, ensuring smooth office operations, and handling some financial responsibilities. The organization oversees a variety of family businesses and holdings, including real estate assets, automotive, and livestock ventures.
Key Responsibilities Executive Support
Serve as the primary liaison between the CEO and internal / external stakeholders, ensuring exceptional communication and customer service.
Manage complex calendar schedules, including planning meetings, coordinating calls, and aligning with multiple parties.
Prepare materials for meetings, track follow-up tasks, and provide operational and administrative support.
Handle sensitive and confidential information with professionalism and security.
Manage personal and professional projects for the CEO as needed.
Office Management
Oversee daily office functions, including supply inventory, ordering, and vendor relationships (e.g., printers, phones).
Handle incoming and outgoing mail, phone calls, and maintain an organized and tidy office environment.
Manage office storage and filing systems.
Run errands and perform bank-related tasks as required.
Troubleshoot technology needs and coordinate with vendors.
Financial and Administrative Support
Utilize QuickBooks for basic financial entries and reporting (training available if not already proficient).
Prepare and maintain spreadsheets, documents, and reports for CEO review.
Liaise with external CPA firm and become familiar with the company’s banking relationships.
Qualifications
Bachelor’s degree preferred; equivalent professional or administrative experience considered.
3 years of administrative experience.
Proven track record of accountability and follow-through.
Strong organizational skills with meticulous attention to detail.
Ability to manage multiple priorities and projects simultaneously.
Flexible and adaptable to changing work demands.
Positive, proactive attitude and polished professional demeanor.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Docs, Sheets).
QuickBooks experience preferred.
Real estate or leasing experience is a plus.
Photoshop experience is a plus.
Strong technology skills and ability to learn new tools quickly.
Excellent verbal and written communication skills, including proofreading.
Work Schedule
Monday–Friday, 9 : 30 AM to 5 : 00 PM, with some flexibility for personal appointments.
Willingness to arrive early or stay late depending on the CEO’s schedule and needs.
