Position Summary, Junior Administrative Assistant
Innovative Professional Solutions, Inc. (IPS)—a successful defense contractor located in Panama City Beach, Florida—has provided exceptional support to our Naval Surface Warfare Center Panama City Division (NSWC PCD) customers for more than 20 years. We are looking for an organized, proactive, and motivated Junior Administrative Assistant who enjoys working with a team of expert engineers, logisticians, and other professionals. The person who fills this Junior Administrative Assistant position will: provide support during several weekly technical meetings locally, both in person and via Microsoft Teams; develop briefing material that contains project status, schedule, and more; draft meeting minutes, action items, and other administrative documentation; maintain the project’s schedule using Microsoft Project; and other duties in support of the project. This is a wonderful opportunity to support multiple U.S. Navy programs.
Highlights of Responsibilities:
- Maintain the project schedule using Microsoft Project.
- Support technical meetings, some of which are high-visibility meetings. (In person and via Teams)
- Coordinate meeting resources.
- Prepare draft meeting minutes and action items.
- Provide general administrative support to the government Project Manager and team.
- Interact with program sponsor organization and various government team leads.
- Other duties as necessary to support the project.
Required Education, Experience, and Certifications:
- High school diploma.
- Eligible to obtain and maintain a Security clearance.
Desired Qualifications:
- An active Secret clearance.
- Experience serving in, or providing support to, the military.
- Strong Microsoft skills, particularly Word, Excel, PowerPoint, Project, and Teams.
- Ability to be organized to keep up with dynamic program.
- A robust aptitude for basic writing, grammar, and math.
Travel:
- No travel is currently planned for this position.
Tools and Technology:
- Various web-based tools will be used.
- MS Word, Excel, PowerPoint, Project, and Teams.
Working Conditions/Environment:
- Work will primarily be conducted at IPS. Some meetings will be supported in person at NSWC PCD.
- IPS is a drug-free employer.

Pay: From $22.00 per hour
