Job Title: Director of Operations Assistant
Job Description:
As the Director of Operations Assistant, you will support various aspects of hotel staffing and operations, ensuring seamless administration and assisting the Director of Operations and Area Managers. Your responsibilities include overseeing application processes, aiding in recruitment, managing employee records, coordinating payroll and uniform requests, and providing administrative support for audits and scheduling. You will serve as a critical link between operations leadership, area supervisors, and hotel managers.
Main Responsibilities:
1. Worksite Management:
- Oversee application and onboarding processes for hotel sites, including Joinup, Lotus, Flex Force, and others.
2. Recruitment Support:
- Assist in recruiting efforts by identifying qualified candidates and supporting the recruitment process.
3. Employee Record Management:
- Ensure accurate work records by monitoring employee punch-ins and creating Beeline and Workrecords IDs so employees are ready to punch from day one.
4. Uniform and Payroll Coordination:
- Handle payroll-related uniform requests, ensuring that employees have the necessary attire.
5. Audit Support:
- Provide assistance during audits, ensuring compliance with operational standards.
6. Training and Development:
- Train new Area Managers, guiding them through operational processes and standards.
7. Scheduling and Agenda Management:
- Manage the agenda for Area Supervisors and create weekly schedules, coordinating team activities and meetings.
8. Support for Area Supervisors and Managers:
- Act as a support resource for Area Supervisors, responding to requests and providing operational assistance.
9. Notion Business Management:
- Oversee and manage the Notion Business system for efficient information sharing and tracking.
10. Calendar and Request Management:
- Create and manage a calendar for daily staff requests, ensuring that all operational needs are organized and addressed.
11. Hotel Management Meetings:
- Attend meetings with hotel managers as needed, stepping in as a leader in the absence of the Area Manager or Director of Operations.
Skills You Need:
- Strong organizational skills and attention to detail.
- Experience in operations support and team coordination.
Proficiency in Notion and workforce management systems (Beeline, Workrecords). Excellent communication and interpersonal skills for liaising with hotel managers and team members.
