Position Overview:
We are seeking an Administrative Assistant II to provide executive-level administrative support for senior leadership within the AIM office. This role involves travel coordination, document management, scheduling, and facilitating classified and unclassified meetings while ensuring compliance with Department of Defense (DoD) regulations.
Key Responsibilities:
- Serve as Defense Travel Administrator (DTA) for Defense Travel System (DTS), processing travel orders, vouchers, and passports.
- Manage document staffing and task management within the Document Staffing Task Management System.
- Assist in reviewing and editing documents, reports, and presentations for accuracy and formatting.
- Ensure effective communication across all program areas, coordinating logistics and administrative tasks.
- Maintain and track daily calendars, schedules, and meeting preparations.
- Organize and facilitate staff meetings, conferences, and senior-level visits, including video teleconferencing (VTC).
- Prepare meeting agendas, read-aheads, minutes, and follow-up documentation.
- Coordinate facility support, conference room logistics, and visitor escorting.
- Implement standard administrative practices to enhance efficiency and ensure compliance with DoD operations.
- Review and maintain electronic and paper filing systems, ensuring proper security procedures are followed.
- Conduct daily physical security checks and notify security personnel of Foreign National visits.
- Provide support at off-site meetings, conferences, and special events.
Qualifications & Experience:
- 2 years of experience with Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word.
- Experience working with Defense Travel System (DTS).
- Strong communication skills, both written and oral.
- Familiarity with DoD classified document handling procedures.
- Experience working with senior-level leadership in the CBRNE or acquisition community.
- Strong organizational and multitasking abilities in a fast-paced environment.
Job Type: Full-time
Pay: $115,195.00 - $122,320.00 per year
