Job Summary:
We are seeking a highly organized and experienced Administrative Assistant IV to provide direct support to senior leadership in an operational environment. The ideal candidate will manage travel arrangements, document processing, office administration, and event coordination while ensuring efficiency and adherence to Department of Defense (DoD) standards.
Key Responsibilities: Administrative Support:
- Serve as co-lead Defense Travel Administrator (DTA) for the Defense Travel System (DTS).
- Manage all travel logistics for senior leadership, including creating orders, processing passports, and filing vouchers.
- Oversee document workflows in the EB Document Staffing System (DSS), ensuring timely review and processing.
- Maintain inventory and manage office supplies.
- Draft, review, format, and process various official documents (memorandums, reports, presentations).
- Implement standard administrative practices aligned with DoD business priorities.
Operations & Communication:
- Coordinate daily office functions to maintain efficient operations.
- Manage leadership calendars, track meetings/events, and prepare agendas and read-ahead materials.
- Answer and direct calls, greet visitors, and ensure smooth communication within the office.
- Arrange logistics for meetings, conferences, and classified/unclassified briefings, including space reservations and document preparation.
Records & File Management:
- Maintain and organize both electronic and hard copy records per the JPM Office record management system.
- Serve as SharePoint Knowledge Manager, managing the office’s digital document storage and collaboration tools.
- Track office taskers in the JPEO-CBRND Staff Action Status Information (SASI) system and ensure timely responses.
Security & Compliance:
- Ensure compliance with security measures, including classified meeting protocols.
- Conduct physical security checks on a rotating basis.
- Assist in tracking and documenting visits from foreign nationals.
Procurement & Supply Management:
- Monitor office supplies and coordinate orders with financial teams.
- Manage Government Purchase Card (GPC) records and purchase requisitions.
Qualifications & Requirements:
- 5 years of experience providing administrative support to senior leadership.
- 5 years of experience using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- 5 years of experience working with the Defense Travel System (DTS).
- Strong organizational, communication, and editorial skills.
- Knowledge of DoD regulations, processes, and travel policies.
- Experience facilitating classified/unclassified meetings and conferences.
- Valid state driver’s license required.

Pay: $115,195.00 - $122,320.00 per year
