BRADENTON, FL

Wage : Starting at $16.00 / hr, based on experience

Schedule : Full-Time, Monday through Friday with occasional weekends (4 - 10's or 5 - 8's desired)

Key Responsibilities

Client Communication & Customer Service :

Greet clients and their pets with warmth, professionalism, and empathy.

Answer phone calls, respond to inquiries, and schedule appointments.

Provide clients with accurate information regarding services, procedures, and clinic policies.

Effectively communicate with clients about their pet’s treatment plans and ensure they feel supported throughout their visit.

Appointment Scheduling & Client Management :

Schedule and confirm appointments for consultations, exams, treatments, surgeries, and follow-up visits.

Manage and organize the daily appointment calendar to ensure efficient patient flow and minimize wait times.

Accurately maintain client and pet records in the practice management software.

Billing & Financial Transactions :

Process payments for services rendered, including invoicing clients and managing insurance claims as applicable.

Assist clients with billing inquiries and provide a clear explanation of charges.

Handle cash, credit card transactions, and provide receipts or other necessary documentation.

Administrative Support & Clinic Operations :

Maintain and organize patient records, ensuring all information is up-to-date and compliant with clinic protocols.

Support the clinic with filing, data entry, and other administrative tasks as needed.

Maintain a clean and organized reception area, ensuring a welcoming environment for both clients and staff.

Team Collaboration & Support :

Work closely with the veterinary team to ensure smooth patient flow, provide support as needed, and relay messages to the appropriate team members.

Assist in preparing patient files for appointments and coordinate with the clinical team to ensure the best care for patients.

Provide ongoing support to both clients and team members in a professional, positive manner.

Skills, Knowledge & Expertise

Education & Experience :

High school diploma or equivalent required.

Previous experience in a veterinary or animal care setting is highly preferred.

Receptionist or administrative experience in a healthcare setting is a plus.

Skills & Competencies :

Strong communication skills with the ability to engage effectively with clients, staff, and visitors.

Excellent organizational skills and the ability to manage a fast-paced, high-volume environment.

Proficiency with computers and veterinary management software (experience with practice management software is a plus).

Ability to multitask, prioritize, and maintain attention to detail.

Compassionate, caring demeanor when interacting with pets and clients in potentially stressful situations.

Ability to stay calm and professional when managing multiple responsibilities and addressing client concerns.

Physical Requirements :

Ability to stand, sit, or walk for extended periods.

Ability to lift and move items up to 25 pounds as necessary.
