JOB SUMMARY
Join our dynamic team as an Administrative Assistant in our corporate office. In this role, you'll play a crucial part in ensuring the smooth operation of one or more departments. We are seeking a highly organized and proactive individual to handle general clerical, receptionist duties, and contribute to various projects. Uphold our professional image through in-person, electronic, and phone interactions.
DUTIES AND RESPONSIBILITIES
- Provide comprehensive administrative support to designated teams or departments.
- Efficiently manage day-to-day administrative tasks and contribute to ongoing projects.
- Create, format, and maintain forms and spreadsheets to streamline processes.
- Innovate and enhance administrative procedures for increased efficiency.
- Assist in meeting facilitation by taking accurate minutes and notes.
- Draft and distribute professional emails to teams and departments.
- Monitor and manage office and mailing supplies, placing orders when necessary.
- Perform administrative tasks independently, showcasing precision and speed.
- Handle incoming and outgoing mail, including sorting, stamping, and processing.
- Process claims and appeals using the EZCAP system.
- Prepare packets for UM client meetings with meticulous formatting and review.
- Oversee outgoing mail, including priority and overnight shipments.
- Track postage and manage envelope inventory on a monthly basis.
- Download and upload files on the health plan portal as needed.
- Uphold member/patient privacy in accordance with HIPAA standards.
- Coordinate catering for office meetings and visitors.
- Professionally manage incoming calls, transferring and forwarding as needed.
- Maintain accurate sign-in sheets for all visitors and guests.
- Order office supplies, flowers, and gift cards as requested.
- Manage business card and signature stamp orders for all offices.
- Assist in the management of conference room calendars.
- Contribute to the Safety Committee binder with updates and assigned roles.
- Fulfill catering requests for onsite or client meetings.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent required. Associate degree or equivalent experience highly preferred.
- 2-3 years of relevant professional experience, including healthcare and project coordination.
- Exceptional organizational skills.
- Effective verbal and written communication skills.
- Strong analytical skills for creative problem-solving.
- Proficient in MS Office Applications; ability to learn specific software systems.
- High attention to detail and accuracy.
Compensation: $17.79 - $26.68
Exact compensation may vary based on skills, experience, and location.
