Billing Assistant

The Billing Assistant works collaboratively with the Administrative Team to support the InOutsource project teams and understand the billing functions for each project determined by the statement of work with our customers.  This role will assist the Billing Specialist to create and administer monthly invoices based upon an agreed upon timeline in compliance with customer instructions and firm policies.   You will report directly to the Director of Finance and Administration. 

Key Duties and Responsibilities:

  • Administration of assigned multiple customer billing responsibilities.
  • Process billing transactions accurately and timely for assigned customers.
  • Learn current billing process and work with time entry computer application.
  • Work with project managers to allocate their budgets and review the invoicing strategies for different types of pricing models.
  • Understand customer specific rate accommodations and how to apply those rates to each project.
  • Review expenses recorded by team on a monthly basis and reconcile to monthly invoicing and provide expense detail back-up to accompany invoices as required.
  • Communicate billing inquiries with customers and collaborate with team members to troubleshoot issues and implement practical solutions.
  • Lead office responsibilities including supply management, phone support, office maintenance requests and general coordination for team members.
  • Liaise with landlord for any maintenance issues and requests.
  • Manage and promote corporate engagement including social events, event planning and workforce engagement.
  • Support internal communications and team portals with regular events and meetings.

Minimum Requirements:

  • Education: Bachelor’s Degree is required
  • Prior administrative/office experience
  • Experience with billing and/or time tracking software application
  • Exceptional organizational systems and skills
  • Proficient with Microsoft Word, Excel, PowerPoint and Adobe Acrobat
  • Ability to learn new computer applications, as necessary
  • Familiarity with Smartsheet application is a plus
  • Excellent oral and written communication skills
  • Must have outstanding interpersonal skills in order to work effectively within a team environment as well as communicate with customers and vendors
  • Ability to multitask and prioritize work in a fast-paced business environment

Preference will be given to applicants based in the near vicinity of InOutsource’s home office in Philadelphia, PA. This will be a hybrid work environment which allows for flexible in office hours (approximately 1-2 days per week).

Salary Range between $45,000 to $55,000 and will be commensurate with experience.
