As an Administration Assistant, you will support daily office operations by handling administrative and clerical tasks. Your responsibilities will include managing correspondence, scheduling meetings, coordinating travel, and ensuring efficient workflow processes. Additionally, you will assist with purchasing, logistics, and financial management. This role requires a proactive mindset and the ability to work independently while supporting the broader team.

Key Responsibilities:

  • Prepare and manage correspondence, including memos, emails, and reports.
  • Process incoming invoices, including cost code assignment, and review them for accuracy, completeness, and accurate financial tracking.
  • Monitor office supplies and handle inventory shortages.
  • Support the purchasing department by processing material requisitions, obtaining quotes, and comparing prices using the company’s ERP system.
  • Coordinate travel arrangements, including hotel and flight bookings.
  • Manage lodging, vehicle arrangements, and customer-side access.
  • Maintain and organize records using the company’s document management system.
  • Assist with picking up, dropping off, or distributing office-related documents and supplies as needed.
  • Support management with daily tasks and handle additional assignments as needed.

Skills and qualifications:

  • Previous experience in an administrative role or office environment preferred.
  • Proactive mindset and ability to work independently.
  • Strong attention to detail, accuracy, and time management, with the ability to prioritize tasks effectively
  • Problem-solving mindset and ability to adapt to unexpected challenges.
  • Comfortable using technology and learning new systems.
  • Proficient with office equipment and document management
  • Willingness to learn new skills and take on additional responsibilities.
