ORGANIZATION DESCRIPTION: IBA-Inquilinos Boricuas en Accion empowers and engages individuals and families to improve their lives through high-quality affordable housing, education, and arts programs.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Front Desk & Reception Management-
Greets visitors and clients warmly, ensuring a
professional and welcoming environment. -
Utilizes security cameras and manages sign
- in/sign-out for employees and visitors.

Issues visitor badges and escorts guests to the
appropriate areas after confirmation. -
Answers and directs calls promptly, taking
messages when necessary. -
Maintains a clean, organized, and presentable
reception area. -
Ensures reception coverage at all times and manage front desk clerical tasks (typing, filing, data entry).
Customer Service & Communication - Serves as the first point of contact for client inquiries, directing them to the appropriate department.
- Provides accurate information on organizational services and policies to visitors and callers.
- Offers refreshments to guests in the lobby and ensure the waiting area is stocked.

Supports internal teams by relaying messages and handling minor requests.
Administrative & Office Support - Manages incoming and outgoing mail, packages, and deliveries.
- Assists in scheduling meetings, booking conference rooms, and organizing company events.
- Prepares and maintains documents, reports, and presentations as needed.

Monitors office and refreshment supplies, keeping inventory well-stocked.
Office Coordination - Operates and maintains office equipment such as phone systems, copiers, and fax machines.

Updates and manages internal contact lists and organizational directories.
Community Engagement & Special Events - Participates in annual organizational events, including Three Kings Day, Festival Betances, and other community programs.
- Provides community resource information and referrals as needed.
- Assists with additional duties as assigned.
SKILLS / QUALIFICATIONS:
- Associate's degree in business or related field preferred.
- Experience or training in office management
- Bilingual (Spanish/English) with strong verbal and writing skills preferred
- Highly computer literate with expertise in word processing, spreadsheets, and databases
- Good moral character, mature judgment, and strong responsibility
- Positive, enthusiastic, and motivating personality
- Excellent people skills and sense of humor
- Collaborative, flexible, and dedicated to excellence
- Passionate about low-income communities and IBA's mission

COMPENSATION AND BENEFITS
IBA is proud to offer very competitive $50,000 annualized salary, commensurate with experience, and a robust benefit plan that includes an 80/20 premium cost share for comprehensive health, dental and vision insurance; a generous HRA provided by the company ($9,450 or $18,900 based on single and family coverage) and other built in supports that significantly reduces or eliminates out of pocket medical expenses. We offer a 403b plan with annual employer contribution, generous paid time off and free parking (limited availability).
