Job Summary
As the Senior Project Management Specialist, you will take charge of our most intricate and strategic projects from start to finish. Your role will involve liaising directly with customers to establish project requirements and expectations, while also analyzing and proposing effective solutions, assessing risks, and communicating project milestones to ensure customer satisfaction.
Essential Duties and Responsibilities Including but not limited to :
- Lead and manage the implementation and execution of office buildouts for complex projects.
- Collaborate with clients and internal teams to clearly define project scope and goals that align with client needs.
- Ensure all project deliverables and scope are understood and maintained throughout the project lifecycle.
- Develop a detailed project schedule that accounts for product lead times and the construction timeline.
- Regularly publish and update the project schedule for both internal and external teams, tracking progress weekly.
- Monitor project performance against established goals, objectives, and milestones, identifying variances and driving corrective measures as needed.
- Participate in weekly OAC (Owner, Architect, Contractor) meetings to report updates and action items back to the internal project team.
- Facilitate project kick-off meetings and weekly huddle meetings to ensure clear communication of responsibilities and deliverables.
- Create comprehensive scope of work documents for installation vendors.
- Gather and analyze labor quotes for accuracy, presenting pricing and project management estimates to the team.
- Proactively identify, manage, and mitigate potential risks to project scope, schedule, budget, and quality.
- Implement a change management process for assessing change requests and communicating impacts to clients and the project team.
- Coordinate with Landlords and Property Managers to ensure compliance with insurance and building access requirements.
- Conduct site verifications to ascertain suitability for furniture delivery and installation.
- Perform pre-installation site walks with the lead installer to ensure alignment on scope and performance standards.
- Oversee the furniture installation process, providing detailed updates to clients.
- Complete punch walks with clients, documenting and tracking items through to resolution.
- Assume full responsibility for projects, ensuring execution aligns with client expectations.
- Guide and motivate project teams to achieve goals effectively.
- Lead post-project evaluations to identify lessons learned and share best practices within the Project Management Team.
- Communicate effectively with Executive-level teams within the organization.
- Exhibit flexibility in work hours and the willingness to travel out of state up to 5% of the time.
