The Administrative Specialist-Administrative position will serve as primary support to Student Organizations, Fraternity & Sorority Life, as well as additional support as needed for the larger Student Life group, including Student Media, Spotlight Programs Board, and overall Student Life. This position will support the Student Life and Student Organizations Resources reception space and deliver support services to student organizations and general students in the associated Student Life areas.

HERE IS WHAT YOU WILL DO
Direct and monitor all aspects of front-line operations (e.g., opening and closing office, answering phones, addressing student inquiries, routing calls and correspondence, disseminating and distributing information and mail, scheduling appointments, and maintaining the calendar and monitoring office supplies); maintain service contracts on office equipment for the Student Organizations Services suite, Student Life administration suite, and Fraternity & Sorority Life (FSL) office suite.Responsible for recruitment, training, supervising, and evaluating 4-6 student office assistants.Provide administrative support for the university-wide student organization / student engagement software platform.Completes eligibility verification for student leaders (using Banner). Assists with assigning FSL students to Banner cohorts and creates academic reports for the FSL community.Provides programmatic support for events and activities (e.g., trainings, etc.) for any areas of Student Life.Assist in the processing of registered student organizations (RSO) re-registration submissions, ensuring all submissions meet University guidelines.Process departmental purchases through the University Purchase Card system and Panthermart ensuring compliance with all University Accounting guidelines.Coordinates travel and arrangements for training retreats (including site reservations and travel), and student participation in regional and national conferences. Assists staff with travel arrangements for attendance at conferences and trainings.Serve as a Notary Public.Assist in developing policies and procedures regarding the administration of the spaces associated with Student Life. Assist in the communication of policies and procedures to university constituents (RSO student leaders, RSO advisors, general students); assist in monitoring compliance with policies and procedures.Qualifications
Minimum Hiring Qualifications :
Bachelor's degree and two years administrative experience; or high school diploma or GED and six years administrative experience; or a combination of education and related experience.
Preferred Hiring Qualifications :
Previous experience in a Higher Education settingPrior experience in an administrative support roleExperience working with Banner, Spectrum, or Student Engagement software, i.e. Campus Labs or EngageWillingness to work in a team-oriented and collaborative environment,Outstanding leadership, management, and interpersonal skills to relate to and work with a variety of faculty, students, parents, staff, and community members.College / Business Unit
