Organization
The Center for Early Childhood Professional Development is looking for an organized Admin Support Coordinator to manage administrative tasks. Responsibilities include processing payments, ordering supplies, handling requests, managing deposits, filing documents, updating invoices, and maintaining the department's birthday list. Duties :
Manages vendor and educator contracts.
Onboards vendors.
Processes new hire and termination paperwork.
Submits EPAFs (Electronic Personnel Action Forms).
Handles payroll extracts and time & effort sheets / QPR recordings.
Process stipends using PeopleSoft.
Assists with developing, implementing, and interpreting policies and procedures.
Processes cost transfers.
Assists with coordination and planning of program-hosted events and logistics.
Orders supplies for office and events (Amazon, Staples, miscellaneous).
Manages educator payments and purchase orders (POs).
Reviews and collect educator’s invoice and task orders (OPDR).
Oversees records maintenance, including inventory, personnel, and office files.
Performs account reconciliation and forecasts cash flow and account balance.
Reconciles P-Card and monthly expenses.
Provides support with purchases, travel, policies and procedures, awards, funding requests, and reimbursement requests.
Creates purchase orders (POs).
Manages deposits and warrant replacement requests.
QuickBooks data entry.
Prepares monthly reports.
Performs various duties as needed to successfully fulfill the function of the position.
Job Location
Required Education : High School Diploma or GED, AND :
- 12 months office, clerical or administrative experience.
