Job Description Summary :
Function as the liaison between the Office of the Registrar, the Director of PeopleSoft / Campus Solutions for the Enrollment Management Division, and the Information Systems and Technology (IS&T) office. Assist and serve as backup liaison with National Student Clearinghouse for enrollment reporting, degree verification, and student self-service. Working in conjunction with the University Registrar, provide oversight of and leadership for the student enterprise system
PeopleSoft / Campus Solutions), archival document imaging, and communications systems in the Office of the University Registrar. Facilitate continuous improvement in services to the larger Chapman University campus community through management of the PeopleSoft / Campus Solutions applications and companion systems, including the Perceptive Content document imaging system, which support student records management. Perform other duties as assigned.
Responsibilities :
- Working in conjunction with University Registrar, provide coordination of processes within the Campus Solutions and imaging systems in the Office of the University Registrar (OUR).
- Facilitate continuous improvement in student services through management of the Campus Solutions applications and companion systems which support student records management.
- Serve as a principal liaison with Director of PeopleSoft / Campus Solutions for the Enrollment Management Division and IS&T regarding ERP matters.
- The Registrar Systems Specialist reports all concerns, issues, and discussion items to the relevant authorities in the OUR. The Registrar Systems Specialist also maintains detailed documentation, dictionary of value definitions, new process documentation, and training guides for the OUR.
- Collaborate with IS&T and the Director of PeopleSoft / Campus Solutions for the Enrollment Management Division to identify needs, solutions, and gaps in the support of the People Soft / Campus Solutions applications and future upgrades; to perform tests and troubleshoot errors; and to facilitate the mapping and reporting of accurate data.
- Ensure on-going efficiencies of systems. Troubleshoot and address functionality and reporting concerns. Provide training to users.
- Working with Associate Registrar for Scheduling & Registration maintain the registration Permission Number Request and the Grade Change Request systems.
- Coordinate creation and maintenance of security roles for computing systems in the OUR.
- Participate in the development of long-range and short-term goals and strategies.
- Manage PeopleSoft processes including related content, activity guides, navigation collections, and work centers for the OUR, Campus Solutions batch processing jobs, assignment of term activations and registration appointments, and setup of Academic Terms and Sessions calendars.
- Work with the Graduate Education office in the management and maintenance of the Research Tracking Module in Campus Solutions
- Develop PS Query reports for use by OUR staff.
- Develop and maintain Gideon Taylor eForms for OUR.
