The Inventory Coordinator will play a crucial role in managing the stock of promotional items, print materials, and kits ensuring that team members can easily order and receive the items they need. The role will be responsible for coordinating with print shop staff, monitoring inventory levels, SKU catalog management, and providing product details for new items. Additionally, this role will research new swag items, request quotes for procurement, and contribute to the overall efficiency of promotional item management process.
This position reports to the Creative Services Manager providing necessary product information and specifications for designing marketing materials.
Responsibilities : Inventory Management
Monitor and maintain stock levels of promotional items and marketing documents on the marketing fulfillment portal.
Regularly update the inventory records to ensure accuracy.
Collaborate with the print shop staff to identify low stock items and initiate the replenishment process.
Coordination with Print Shop Staff and Promotional Item Vendors
Establish and maintain regular communication with the print shop staff and vendors.
Provide them with the necessary information and specifications for ordering and printing materials.
Ensure that print shop staff are aware of any low stock items and prioritize their production accordingly.
SKU Management
Manage the SKU numbers tracking form, maintaining accurate records of assigned numbers.
Assign SKU numbers to new items to ensure proper identification and tracking.
Ensure that the company does not exceed the allowed SKU numbers limit by reviewing and managing the allocation of SKU numbers.
Product Details Management
Gather and provide comprehensive product details for new promotional items to be added to the marketing fulfillment portal.
Include item descriptions, images, pricing, and any other relevant information.
Ensure that all product details are accurate and up to date.
Quotes and Procurement
Request quotes of promotional item orders and replenishment of existing items from suppliers and vendors.
Compare prices, quality, and delivery timeframes to make informed procurement decisions.
Coordinate with relevant stakeholders to finalize purchases and ensure timely delivery.
Evaluate potential vendors and suppliers for quality, pricing, and reliability.
Inventory Usage Analysis
Analyze data related to promotional item usage, popularity, and inventory levels.
Identify trends and patterns to optimize inventory management processes.
Skills :
Bachelor’s or Associate’s degree in business administration, marketing, supply chain management or related field.
Proven experience in inventory management, procurement, or a similar role.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Proficient in using inventory management software and systems.
Ability to multitask and prioritize tasks effectively.
Knowledge of print production processes is a plus.
Familiarity with graphic design software is a plus.
Analytical mindset with the ability to analyze data and generate insights.
Problem-solving skills with a proactive approach to overcoming challenges.
Healthcare field and hospital marketing experience preferred, not mandatory
