Qualifications
- Bachelor’s degree preferred but not required
- 4 years’ experience as an Office Manager, Administrative Manager, or similar role
- Verbal and written communication skills to interact clearly and professionally with guests, vendors and other employees
- Organization skills to keep accurate records and find important information quickly, maintain order within the office
- Time management skills to prioritize and complete a side variety of tasks throughout the day
- Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
- Thrives in a high paced environment
- Strong Microsoft Office skills
Key Responsibilities
Hospitality & Front Office
- Greet and welcome guests with professionalism and warmth
- Manage visitor access and coordinate with building security
- Prepare conference rooms, including refreshments and technology setup
- Log in to and manage conference calls as needed
- Answer and direct incoming calls, acting as a courteous gatekeeper for staff
- Coordinate catering for meetings, including breakfast, lunch, or dinner
- Ensure meeting rooms are reset and tidy post-use
- Support other front desk and hospitality-related tasks as assigned
Office Operations & Facilities
- Serve as the primary point of contact for office-related matters
- Ensure the office is clean, organized, and fully stocked with supplies, snacks, and equipment
- Liaise with building management and coordinate maintenance, security, and cleaning services
- Maintain vendor relationships and negotiate service agreements as needed
- Oversee mail, shipping, and package logistics
Administrative Support
- Manage scheduling for office-wide meetings, conference rooms, and shared spaces
- Book conference rooms for internal and external meetings; coordinate guest registration and greetings
- Complete detailed expense reports and “out-of-pocket” reimbursements, including receipt tracking and project coding
- Arrange travel logistics: flights, accommodations, visas, transportation, etc.
- Maintain digital and physical filing systems for operations documentation
- Support the Head of Operations and other Operations team members as needed
- Assist with special projects and ad-hoc administrative tasks as they arise
Team & Culture Support
- Plan and coordinate company events, meetings, and celebrations
- Help maintain a positive workplace culture by supporting team engagement initiatives
- Serve as a go-to resource for staff regarding office processes, tools, and support
Salary : $50,000 - $70,000
