Prospective Client Coordinator
We are currently seeking a Prospective Client Coordinator to join our team.
Ensures that all requests for prospective client pricing and review are processed in a timely basis by initiating, preparing, and assigning all prospective client information to Pricing and Review Specialists. Maintains even workflow among Specialists to ensure optimal efficiency and effectiveness of the team, and works as a team member to maintain the highest level of customer service quality and productivity with internal clients.
Responsibilities:
- Ensures that all prospects are reviewed on a timely basis by initiating, preparing, and assigning review information.
- Interfaces with Sales Consultants to request additional information needed for review to ensure adequate information is obtained for prospect pricing.
- Interfaces with the New Client Sales, Renewals, Workers Compensation, Safety, and Legal departments to insure complete and thorough bids.
- Handles a variety of sensitive situations and problem-solves on own initiative, advising Manager of action taken. Handles a large volume of confidential material with appropriate discretion.
- Coordinates file management and audits within the department to facilitate immediate retrieval of information.
- Prepares and distributes daily, weekly, and monthly management reports.
- Performs responsible administrative work requiring some independent judgment with speed and accuracy; learning, interpreting, and applying organizational policies, laws, rules and regulations; taking responsibility for the compilation and organization of reports; composes correspondence on own initiative.
- Provides administrative support to Pricing & Review management, requiring thorough knowledge of organizational procedures and precedents. Produces documents using Microsoft Word, PowerPoint, and Excel.
- Maintains departmental meeting and PTO calendars. Arranges meetings, assists in agenda preparation, gathers information, and contacts meeting participants.
- Keeps supervisors informed of issues, problems and special needs on a timely basis.
- Orders and keeps quality control on supplies and equipment.
- Maintains final actions reports for prospective clients for remaining hard copy files.
- Creates and recommends process enhancements for Pricing and Review process.
Qualifications:
- High School Diploma required.
- One to two years related work experience is preferred.
