The Assistant Office Manager is a critical role responsible for ensuring the smooth daily operations of our dental practice, managing administrative functions, patient relations, and support for clinical staff.
Key Responsibilities
Practice Administration
- Oversee daily administrative operations of the dental office
- Manage front desk operations, including patient scheduling, check-in/check-out processes
- Coordinate communication between patients, dentists, and staff
- Maintain and organize patient records, ensuring compliance with HIPAA regulations
- Manage incoming phone calls, emails, and patient inquiries
Financial Management
- Handle billing and insurance claims processing
- Manage accounts receivable and payable
- Prepare and maintain financial reports
- Process patient payments and manage payment plans
- Coordinate with insurance companies and verify patient insurance coverage
Staff Support
- Assist in hiring and onboarding new staff members
- Coordinate staff schedules and manage time-off requests
- Facilitate staff meetings and internal communications
- Support dentists and dental hygienists in administrative tasks
Patient Experience
- Ensure exceptional customer service and patient satisfaction
- Handle patient complaints and resolve conflicts professionally
