Job Summary:
We are seeking an organized, friendly, and proactive Receptionist to be the first point of contact for our patients and visitors. As a key member of our team, you will play a critical role in ensuring smooth daily operations at the front desk. The ideal candidate will have excellent communication skills, strong attention to detail, and a patient-centered approach. You will be responsible for greeting patients, handling appointments, managing paperwork, and assisting with various administrative tasks.
Key Responsibilities:
- Patient Interaction: Greet patients and visitors warmly, ensuring they feel welcomed and comfortable. Answer patient questions and provide assistance as needed.
- Registration & Scheduling: Accurately register new patient information, including demographics and referral details. Schedule patients for appointments, reassessments, and re-evaluations using Mindbody. Ensure patients are scheduled 3 months out.
- Referral Coordination: Make and manage patient referrals. Schedule and input referral details into the system and communicate any scheduling issues with the team.
- Documentation & Data Management: Process all necessary paperwork and ensure all fields are filled out correctly. Maintain organized and accurate records, tracking daily data using spreadsheets.
- Payment Collection: Collect payments from patients, including handling outstanding balances.
- Phone & Email Communication: Answer phone calls, respond to emails, and direct inquiries to appropriate team members as needed.
- Facility Organization: Ensure the front desk and patient areas are clean, organized, and conducive to a welcoming atmosphere.
Skills & Qualifications:
- Education: High school diploma or equivalent required.
- Experience: At least 1 year of experience in a receptionist or administrative role, preferably in a healthcare or fitness environment.
- Skills:
- Strong interpersonal skills with the ability to communicate effectively with patients and team members.
- Exceptional organizational and time-management skills with the ability to multi-task efficiently.
- Proficiency with scheduling software (Mindbody experience is a plus).
- Detail-oriented and comfortable handling administrative duties and data entry.
- Ability to maintain a calm and professional demeanor in a fast-paced environment.
- Other: Must have a positive, patient-centered attitude and be able to thrive in a team-oriented environment.
Schedule:
- Monday, Wednesday, Friday: 7:45 AM – 4:30 PM
- Tuesday & Thursday: 7:00 AM – 3:00 PM
- Saturday: 7:45 AM – 12:00 PM
Compensation & Benefits:
- Pay: $18.00 – $23.00 per hour (commensurate with experience).
