Job Overview
We are seeking a dedicated and compassionate Patient Services Representative to join our Radiation Oncology healthcare team.
The Patient Services Representative (PSR) is the initial point of service contact with our patients and will provide the welcome greeting in person and via telephone. PSR will perform clinical based clerical duties using specific knowledge of Radiation Oncology using medical specialty terminology, and hospital, clinic, and imaging procedures. Duties will include processing patient referrals, capturing patient demographics, scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence.
Your ability to communicate effectively and manage patient inquiries will be essential in ensuring a positive patient experience.
This person will work closely with patients, providers, fellow team members and community referring providers to accommodate patient needs through people-related solutions. This individual promotes the company’s patient care priorities, culture, mission, and values.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Greets visitors, ascertains purpose of visit, and directs them to appropriate staff.
2. Answer patient questions and provide assistance to facilitate patient care objectives
3. Performs check0in and check-out services
4. Register all new patients, capture, and input demographics and insurance information
5. Schedule appointments
6. Answers telephones and direct calls to appropriate staff.
7. Conducts appointment reminder calls to patients
8. Collect co-pays and outstanding balance
9. Field phone calls and respond to emails and faxes
10. Import medical records into the EMR
11. Interviews patients to complete documents, case histories, and forms such as intake and insurance forms. Compiles and records medical charts, reports, and correspondence using a computer and various software programs. Transmits correspondence and medical records by mail, email, or fax.
12. Schedules and confirms patient diagnostic appointments, surgeries, and medical consultations.
13. Receives and routes messages and documents such as laboratory results to appropriate staff.
14. Operates office equipment such as voicemail messaging systems, and uses word processing, spreadsheet, and other software to prepare reports, invoices, financial statements, letters, case histories, and medical records.
15. Maintains medical records, technical library, and correspondence files.
16. Continuously check, cleans and stocks patient waiting room area to ensure a clean, presentable, and efficient waiting area
17. Prepares and ensures financial collections ledger and monies are accurate
18. Provides exemplary patient care and service
19. Cross-functions with other team members roles to ensure coverage of all areas
20. Attends department and company meetings as required
21. Ensure an inclusive approach to employees, patients, consumers, and partners
QUALIFICATION REQUIREMENTS:
· Strong business acumen and teamwork abilities
· Working knowledge of medical services and healthcare compliance regulations
· Ability to listen and understand underlying needs of an issue
· Strong interpersonal, verbal, and written communications skills
· Demonstrated ability to anticipate and solve practical problems

· Outstanding judgement, sensitivity, and high discretion
· Experience working in medical industry required
· Proficiency in Microsoft Office Suite and Medical system applications such as Athena, Care Cloud and external imaging, hospital, and pathology EHR systems
· Must have a valid Driver’s License, reliable vehicle, and ability to report to work on time each scheduled shift
· Must be able to travel to office locations as needed
EDUCATION AND/OR EXPERIENCE:
· High School Diploma or equivalent required
· A minimum of 2 years of medical office experience required
· Experience with Medical Office Systems
. Experience in Radiation Oncology preferred

· Must properly control the release of proprietary and confidential information
· Knowledge of HIPAA laws and regulations
LANGUAGE SKILLS:
· Ability to read and interpret documents, reports, and correspondence, and communicate effectively in one-on-one and group situations with patients, physicians, employees, and other customers of the organization
· Professional interpersonal and organizational skills
· Command of the English language with bi-lingual skills helpful
· Must be able to read, write and speak English and understand written and oral instructions.
