Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our mental health agency in our Chesapeake office. This role requires a professional with strong administrative and communication skills who can manage office procedures, coordinate scheduling, support clinicians, and ensure compliance with agency policies and industry regulations. As a 1099 Independent Contractor, you will be responsible for handling your own taxes and benefits while maintaining a high level of efficiency and professionalism in our office. The starting pay for this position is $17-$20/per hour.
Key Responsibilities:
- Office Administration: Oversee daily office operations, maintain office supplies, and ensure a well-organized workspace.
- Scheduling & Coordination: Manage clinician schedules, client appointments, and office calendars.
- Billing & Insurance: Assist with processing payments, verifying insurance, and maintaining accurate financial records.
- Compliance & Documentation: Ensure that all client and clinician records adhere to HIPAA and agency policies.
- Communication: Serve as the main point of contact for clients, clinicians, and external partners.
- Staff Support: Provide administrative support to clinicians and agency leadership as needed.
- Technology & Systems: Maintain electronic health record (EHR) systems and office technology to ensure smooth operations.
- Marketing & Outreach: Assist with social media, community outreach, and promotional activities for the agency.
Qualifications & Skills:
- Proven experience in office management, preferably in a healthcare or mental health setting.
- Strong knowledge of HIPAA regulations and confidentiality protocols.
- Proficiency in Microsoft Office, Google Workspace, Wix, and electronic health record (EHR) systems.
- Excellent communication, organizational, and problem-solving skills.
- Ability to multitask and work independently with minimal supervision.
- Experience with billing, insurance verification, and administrative tasks is a plus.
- High school diploma required; associate or bachelor’s degree preferred.
Contractor Terms & Conditions:
- This is a 1099 independent contractor position, meaning you are responsible for your own taxes, benefits, and insurance.
- Compensation will be based on experience and agreed-upon contract terms.
- Hours are flexible but may require availability during peak office hours.
