Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by providing administrative support, managing schedules, and ensuring efficient office functions. This position requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The job is Hybrid with at least 1 day in office per week and occasionally more during special projects.
Responsibilities
Provide various clerical support including data entry, payroll, filing, billing and document management.
Manage calendars and schedule appointments for team members. Assist with CRM software to dispatch techs.
Assist with customer support by answering phones during operatiing hours responding to inquiries and providing information as needed.
Proofread documents to ensure accuracy and professionalism.
Social Media Management and posting
Maintain organized office systems to enhance workflow efficiency.
Collaborate with team members on projects and administrative tasks as required.
Perform additional duties as assigned to support the overall operations of the office.
Requirements
Proficiency in office software, particularly Microsoft office, Housecall Pro, Quickbooks online, and other platforms as needed
Strong time management skills with the ability to prioritize tasks effectively.
Excellent organizational skills with attention to detail.
Experience in clerical work or customer support is preferred.
Ability to handle confidential information with discretion.
Strong communication skills, both written and verbal.
Previous experience in an administrative role is advantageous but not mandatory.
