Brightworks is seeking an Admissions and Registrar Coordinator; the position starts in SUMMER 2025.

Position: Admissions Coordinator and Registrar
Role Overview:
The Admissions and Registrar Coordinator plays a key role in supporting the school’s admissions and enrollment processes, maintaining student records, and ensuring smooth communication with families. This position requires excellent administrative, organizational, and interpersonal skills and offers the opportunity to be a welcoming first point of contact for prospective families.
Reports To: Director of Advancement
Position Type:
Full-time, Exempt (with potential for a 32-hour workweek). This role includes occasional weekend work during the admissions season.
Admissions Responsibilities:
- Provide full administrative support for the admissions process.
- Coordinate admissions events (e.g., open houses, tours, info sessions).
- Assist with interview scheduling and preparation.
- Communicate with families about enrollment and tuition assistance.
- Manage enrollment agreements and ensure completion.
- Support Clarity Tuition platform use and assist families through the process.
- Handle mid-year withdrawals and maintain accurate student records.
- Maintain up-to-date admissions data in MySchool.
- Respond professionally to inquiries and assist with admissions materials.
Registrar Responsibilities:
- Maintain accurate and confidential student academic and health records.
- Manage student data in MySchool (demographics, attendance, medical, contacts).
- Oversee attendance tracking and generate reports.
- Organize immunization and volunteer waiver documentation.
- Prepare official transcripts and handle student transfers and withdrawals.
- Ensure data privacy compliance (e.g., FERPA).
- Collaborate with school departments for data consistency.
Qualifications:
- Bachelor's degree with 3 years of relevant experience preferred.
- Proficient in Google Suite and experienced with SIS systems (preferably MySchool).
- Detail-oriented with excellent time management and communication skills.
- Empathetic, positive, and community-minded.
- Strong storytelling and relationship-building abilities.
- Growth mindset and commitment to progressive, child-led education principles.
Pre-Employment Requirements:
- Fingerprinting and passing the Department of Justice clearance (background check)
- Tuberculosis Test
- Current CPR Certification (Available to complete during the professional development weeks)
Compensation and Benefits
Placement on our salary scale is determined by qualifications and experience. Our scale ranges from $87,000 to $110,000. Excellent benefits are offered, including medical, dental, vision, life, and disability insurance, and a retirement plan with a 4% match that vests immediately. Additional employer contributions are available for dependents. Employees are eligible for paid time off in addition to opportunities and resources for professional development.
