POSITION DESCRIPTION
The Grant Manager reports to the Chief Operations Officer or their designee and is responsible for the research, development, and management of foundation, corporate, and government grants proposals and reports. The primary responsibilities of this position include prospect research; grant development, writing and production; grants management, tracking and reporting; supporting funder relationships; and coordination with Instituto staff working to accomplish grant related goals. Grants Manager is a high-visibility role that interacts with diverse internal and external stakeholders, and often operates under tight deadline pressure. In addition to their primary responsibilities, this position supports Instituto’s development initiatives and other fundraising responsibilities as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Income Generation
- Develop and implement annual grants prospecting/submission/reporting cycle in collaboration with the COO and other teammates.
- Write, produce, and submit compelling LOIs, proposals, reports and other documents to both private sector philanthropic supporters and public sector funding agencies.
- Organize pre-proposal strategy meetings with program, development, and leadership staff to assess funding needs and opportunities, and ensure accurate and timely submission of all LOIs, proposals, and reports.
- Manage and develop efficient internal processes regarding grants including a grants calendar, acknowledgement of grants received, and communication with key staff.
Research and Planning
- Conduct prospect research to ensure that the pipeline for new funding is continuously replenished.
- Compile, maintain data, demographic information, and agency document files to ensure accurate information and updated documents are consistently used in all proposals and reports.
- Provide regular goal and progress reports for staff, finance department, and agency leaders.
- Maintain accurate records and files related to grants and funder relations, including utilizing appropriate donor management software to manage workflow, donor cultivation and grant production.
- Initiate, maintain, evaluate, and recommend procedures and systems for improved management of the grants process.
Relationship Development
- Collaborate with and support the COO, President & CEO, and other agency leader to develop and maintain relationships with philanthropic and corporate foundations, including organizing outreach, exploratory meetings, site visits, and other cultivation opportunities.
- Foster relationships with the philanthropic funding community through participation in relevant industry events, as well as organizational engagement and outreach.
Development Support
- Participate in the organization’s annual gala and other fundraising events by supporting the solicitation of sponsorships, auction donations, and general event management.
- Be an active contributor to Development Department activities as needed and directed.
- Attend relevant committee and community meetings representing Instituto.
- Assist with government contract administration as needed and directed.
- Attend workshops and other skill-building activities as appropriate.
- Other duties as assigned.
QUALIFICATIONS
- Commitment to Instituto’s mission and growth of its programs
- Bachelor’s degree in a closely related field
- At least 3 years of experience in development, particularly in grant writing and grant management
- Experience managing proposals, reports, and systems for large grant portfolios including coordinating with team members to produce quality products while meeting deadlines
- Knowledge of non-profit sector, including grant submission and administration processes
- Proven track record of funded grant proposals; experience with government grants highly desired
- Advanced writing skills in a range of formats such as complex proposals, brief summaries, and other business communications, along with a talent for capturing organization spirit and mission in writing
- Competency in Microsoft Office and experience utilizing grant management, CRM, or other data systems.
- Able to function both independently and as a member of a team
- Excellent, professional communication skills and ability to work with multiple stakeholders to move a project along to completion
- Ability to maintain close attention to detail in a fast-paced environment
- Able to occasional work long hours and some evening and weekends as necessary
- Demonstrated cultural and economic sensitivity
- Ability to be discreet with personal information that may be needed for some grants such as employee salaries or upcoming projects

WORKING CONDITIONS
Majority of work performed in a general office environment. Position requires availability for extended hours plus non-traditional hours may be required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings.
