Job Overview:
The Department of Institutional Advancement is looking for an associate who is primarily tasked to support the Institutional Advancement team by managing the logistics and administrative needs of events, onboarding new hires and coordinating cross-departmental campaigns. This position will work with the operations team on lay development, special events, membership and day-to-day operations. Tasks will include handling information requests, arranging meetings and conference calls, and preparing for events. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative Support:
- Manage team calendars, schedule meetings, and coordinate travel arrangements.
- Prepare and distribute meeting agendas and follow-up action items, particularly surrounding the team’s weekly meetings.
- Maintain organized files and documentation for Institutional Advancement campaigns and events.
- Serve as the department’s point of contact for general inquiries
General Support:
- Assist with tracking departmental budgets and processing expense reports.
- Perform general office duties, administrative support to senior leads as well as maintaining database systems.
- Identify process improvements and contribute to creating more efficient workflows.
Event Logistics and Support:
- Assist with the logistical planning and execution of events, including venue bookings, vendor coordination, and supply management as needed.
- Ensure timely delivery of event materials, technology, and equipment.
- Maintain and manage inventory of event supplies and assets.
- Provide on-site support during events, including setup, registration, and tear-down as needed.
- Provide check-in support at events as required (some weekend hours may apply).
- Manage mailings
Job Qualifications:
- BA/BS required or comparable experience.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures.
- Ability to handle confidential information with great discretion.
- Ability to talk to others, to convey information effectively and professionally.
- Ability to communicate effectively in both oral and written communication as appropriate for the needs of the audience.
- Able to collaborate effectively with other OU departments and outside vendors.
- Strong desire to actively look for ways to help people.
- Capable of multi-tasking in a fast-paced, results-oriented environment.
- Attention to detail needed to maintain accountable records of activities.
Work Schedule:
This is a Full-Time position. Office schedule is flexible with 3 in-office days and two remote days.
This position may require work out of the office. This position can require travel for a program or some evening hours.

Salary : $45,000 - $55,000
