Our client, a growing retirement planning firm focused on helping people establish financial freedom through meaning and purpose, are seeking a service-driven Administration Assistant who is highly organized, self-motivated, and finds fulfillment in helping others. The Administration Assistant will oversee scheduling, client communication, and data input, coordinate business events, collaborate on marketing initiatives, and ensure a memorable client experience. Working as part of a team, this role coordinates communication and calendars between financial advisors, clients, and the client service team.

Responsibilities

  • Answer phones and greet clients warmly and professionally.
  • Input client data from source documents into CRM.
  • Record notes from client interactions into CRM and maintain our client database.
  • Manage electronic tracking and filing, reviewing data for deficiencies or errors.
  • Provide support at various after-hours client events.
  • Coordinate and host seminars, marketing initiatives, and client events.
  • Assemble marketing materials for clients and prospects upon request.
  • Assist in sending correspondence to clients, including appointment reminders, thank you notes, invitations, etc.

Qualifications

  • Associate’s degree or higher in Business Administration, Communication, or a related field.
  • 2 years of experience working in a professional, fast-paced office environment.
  • Proficiency in Microsoft 365 applications (Word, Excel, SharePoint), Salesforce, and SMS on iOS devices.
