The opportunity
We currently have an opportunity for an Executive Administrative Assistant to join our Human Resources team primarily based in our Canton, MA office on a hybrid schedule. This job is responsible for providing top-level assistance of a complex and confidential nature for high-level executives. Some of the Executive Administrative Assistant responsibilities include but are not limited to:
- Executive Calendar Management: Maintain and optimize frequently changing schedule, including anticipating and resolving potential conflicts in advance.
- Travel Coordination: Arrange end-to-end travel logistics, including international and domestic flights, ground transportation, hotels, and any additional reservations.
- Meeting Preparation: Ensure the Executive is prepared with all necessary materials for meetings, events, and travel, including pre-read materials, agendas, and briefings.
- Expense Management: Prepare, track, and submit expense reports adhering to corporate policies and timelines.
- Project & Event Coordination: Organize and develop reports and presentations for top executives including but not limited to board meetings, quarterly/monthly slides, team off-sites, and department events, managing all related logistics such as venue selection, agenda planning, and communication.
- Strategic Partnership: Serve as a key liaison between Executives and internal/external stakeholders, ensuring smooth communication and managing interdependencies across projects.
- Special Projects: Drive and support ad hoc projects for the multiple Executives, Actuarial and Learning and Development Team, including research, reporting, and administrative initiatives as requested.
The expertise you bring
- Experience: 6 years of experience as an Executive Administrative Assistant, supporting multiple C-suite Executives in a corporate environment.
- Multitasking & Adaptability: Proven ability to manage multiple projects and priorities with ease, maintaining focus under pressure and adapting to changing circumstances with grace.
- Attention to Detail: Exceptional organizational skills, with a strong focus on accuracy, follow-through, and timely execution.
- Confidentiality & Discretion: Experience handling highly confidential information with the utmost discretion and integrity.
- Tech-Savvy: Strong proficiency in modern collaboration tools and platforms including Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams), Adobe, DocuSign, Teams, travel and expense management systems (e.g., Concur, Peoplesoft).
- Communication: Excellent written and verbal communication skills, capable of articulating messages clearly and diplomatically.
- Event & Meeting Logistics: Expertise in coordinating events and meetings, anticipating needs, and providing seamless support as needed.
- Collaboration: A team player with a collaborative mindset, who thrives in a role that requires frequent interaction across all levels of the organization.
- Problem-Solving: Proactive in identifying challenges and offering creative, efficient solutions with minimal supervision.
- Urgency & Initiative: A sense of urgency and ownership over tasks, demonstrating a high degree of initiative and accountability.
- Flexibility: Candidate will travel between Canton and Boston office as needed, based on Executive needs and requirements. Conduct other duties as needed.
Our salary ranges are determined by many factors including location, role, experience and skillset of the candidate. The following ranges displayed reflect the target base salary for new hires, but your recruiter will share more specific compensation information with you during the hiring process. The typical base salary range for this position is: $72,000 – $102,000, based on the factors aforementioned. For candidates located in San Francisco, CA; Hoboken, NJ; and the New York City metro area, the base salary range is $91,000 -$106,000. In addition to base salary, full time Intact employees are also eligible for bonus potential and a full range of benefits to include but not limited to:
