JOB TITLE: Administrative Assistant
CLASSIFICATION: Full Time, Non-Exempt
PROGRAM/DEPARTMENT: Agency Support
IMMEDIATE SUPERVISOR: Agency Administator
POSITION SUMMARY: Supports agency departments/ program operations by providing workflow and coordinating administrative functions to ensure that all required tasks are completed according to prioritized time lines; perform routine administrative and clerical functions; maintain information flow. Acts as the lead clerical person in agency wide initiatives such as database management, development of relevant procedures, maintenance of building wide communication mediums, answering phones, addressing caller’s questions, routing calls, greeting and directing visitors to the appropriate staff members. etc. Responsible for ensuring coverage of all administrative duties including coverage of reception area in administration building(s). Performs routine file maintenance by documenting receipt and removal of information. Maintains department inventories by checking stock and reordering to replenish supply levels. Manages petty cash by distributing funds, completing documentation, and forwarding information to Accounting.
QUALIFICATIONS:Minimum Education, Training & Experience:
Associates Degree in Business, Secretarial Science, or related field with at least one-year administrative experience
Or
High School Diploma or equivalent
One (1) year post high school training
Five (5) years working in an office environment
Preferred Education, Training & Experience:
55-60 wpm typing speed
High level of computer proficiency including word processing, spreadsheets, presentation materials, internet, and intranet.
Experience with transcribing clinical dictation, meeting minutes, and other information
ESSENTIAL SKILLS AND ABILITIES:
Ability to be flexible and adaptable with regard to agency needs
Ability to make decisions under pressure and direct the work of others
Ability to effectively communicate orally and in writing
Ability to demonstrate good judgment and initiative
Ability to work effectively without direct supervision
Ability to handle information in a confidential manner
Ability to assess and prioritize responsibilities
Ability to appropriately organize large amounts of information
Ability to present oneself professionally to internal and external contacts
Driver’s License with driving record that meets agency standards
SALARY:
$16-$18 per hour based on experience
