Job Summary of the Administrative Assistant position
Integr8staff seeks a detail-oriented and reliable Administrative Assistant in Rancho Santa Margarita, CA. This is a phenomenal role with tremendous growth potential in the accounting and operations side of the organization.
Responsibilities of the Administrative Assistant position
Perform a variety of clerical and office tasks, including managing schedules, handling correspondence, maintaining files and communicating effectively with leadership team.
Provide administrative support to ensure efficient operation of the office.
Manage day-to-day office tasks, including bank reconciliation. answering emails, distributing mail, and responding to inquiries.
Schedule and coordinate appointments, meetings, and events for team members and executives.
Draft, proofread, and send emails, letters, and other forms of communication.
Organize and maintain physical and digital files, ensuring easy access to key documents.
Arrange travel accommodations, including flights, hotels, and transportation, for staff or executives.
Supervise affordable office supplies are being ordered, negotiate with suppliers when needed
Greet employees, clients, and vendors, providing a professional and welcoming environment.
Input data into systems, create reports, and assist with various administrative tasks as needed.
Assist in preparing materials, coordinating tasks, and ensuring deadlines are met for projects.
Requirements of the Administrative Assistant position
High school diploma or equivalent; associate degree or higher not required.
Proven experience in an administrative support role, preferably within a similar industry.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Specifically Excel formulas pivot tables, VLOOKUP, (intermediate to advanced required)
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills.
Attention to detail and problem-solving skills.
Ability to work both independently and as part of a team.
Discretion and confidentiality in handling sensitive information.
Some travel could be needed to coordinate and train staff in Santa Barbara
