We are seeking a highly organized and detail-oriented Document Management Manager to oversee the planning, implementation, and optimization of document management systems within our organization. This role is responsible for ensuring efficient document control, retrieval, storage, and compliance with industry standards and regulatory requirements. The ideal candidate will have a strong background in document management, excellent communication skills, and a proactive approach to problem-solving.
Primary Responsibilities
- Implement, manage, and maintain the document management system (DMS), including user access controls, metadata configuration, and system updates.
- Establish and enforce document management policies and procedures for document creation, version control, retention, and disposal.
- Develop and implement document classification systems to categorize documents for easy retrieval and searchability.
- Ensure compliance with industry regulations and legal requirements regarding document retention, security, and accessibility.
- Provide training to employees on proper document management practices and system usage.
- Monitor document quality, identifying and resolving inconsistencies or errors in information.
- Generate reports on document usage, access patterns, and system performance to identify areas for improvement.
- Manage updates and upgrades to the DMS, including communication and user training.
Professional Qualifications
- 7 years’ document management experience in a manufacturing environment
- Comprehensive knowledge in all phases of document control and data management
- Working knowledge of document database systems like Procore
- Experience managing document management systems in a complex manufacturing and assembly environment
- Proven ability to develop and implement document control procedures
- Knowledge of data management principles and best practices
- Experience in training and supporting users on document management systems
- Strong understanding of document management systems and technologies
- Ability to structure and manage large volumes of documents effectively
- Meticulous focus on accuracy and consistency in document handling
- Ability to analyze data and identify trends to optimize document management processes
- Clear communication to explain policies, train users, and collaborate with stakeholders
- Awareness of relevant industry regulations and compliance requirements
This is a full-time position with hours dictated by business needs. This position will report to the Quality Director.
