Location - Ahoskie and Elizabeth City
The Medical Office Supervisor is responsible for overseeing the day-to-day operations of the assigned medical center(s). Works closely with the Practice Manager and the medical staff with the purpose of providing the highest quality services to our patient population in a professional, efficient, and cost-effective manner. The Medical Office Supervisor is to ensure all medical office operations are functioning accurately and timely for proper generation of management reports and cash flow. The Medical Office Supervisor is to follow legal guidelines to ensure prompt completion, filing, and retrieval of the medical record.
WORK DUTIES AND TASKS:
Administrative Duties: Essential Function, 90% of time
- Coordinates, supervises, and evaluates the day-to-day operations of the front office and clinical back office staff; and makes recommendations to upper management about staffing and other resource needs.
- Responsible for staff adherence to all Medical Office policies and procedures
- Holds periodic staff meetings to assure coordination of efforts
- Conducts periodic performance reviews on all medical office staff
- Monitors workload and personnel needs of medical office
- Maintains inventory of forms and office supplies
- Resolves problems with billings, collections, and medical records
- Ensures on a daily basis that patients and their relatives are dealt with in a professional and courteous manner by the Medical Office personnel
- Communicates expectations, assigns accountabilities, and measures performance against expectations.
- Develops, communicates, monitors and revises the work schedules of assigned staff based on medical center hours, patient scheduling, provider availability, organizational policies and procedures, and personnel factors.
- Maintains ongoing communication with medical providers about patient scheduling, workflow, support needed from front office and clinical staff, and overall medical center operations.
- Evaluates and continually improves service delivery through data collection, planning and implementation to meet organizational needs.
- Participates in quality improvement activities, including customer satisfaction surveys and assisting with the investigation of employee and patient incidents.
- Coordinates Health and Safety.
- Other duties as assigned.
Management Duties: 10% of time
- Trains, develops, and motivates business office staff
- Assists with selection of staff.
- Completes Performance Evaluations for business office staff.
- Create and monitor various reports for accountability.
- Other duties as assigned.
QUALIFICATIONS, EDUCATION AND EXPERIENCE REQUIREMENTS:
- Required Education: High School Diploma
- 5 years medical office management, where measuring and managing performance was required.
- In-depth understanding of medical billing, coding and revenue cycle processes.
- Excellent planning, organizational, and time management skills.
- Willingness to travel to multiple practice sites on a regular basis as needed for engagement.
- Ability to effectively gather, organize and analyze data and present in actionable format.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Results-focused, innovative and creative problem-solver with the ability to engage commitment from others.
- Proficiency with Microsoft Office including Word, Excel, PowerPoint, EHR Systems and Outlook; as well as additional database software.
- Ability to interact with employees at all levels of the organization with demonstrated success initiating
- Preferred Education: 4-year Bachelor’s degree in Health Care Management Administration or related field; an RN or other related Health Care Management education.
- Preferred Qualifications: 2 year RN degree with experience in Health Care Management Administration
