RESPONSIBILITIES:
- Administrative Support: Provide administrative assistance to the HR department, including managing calendars, handling correspondence, and responding to phone inquiries related to HR functions.
- Employee Records Management: Maintain and update accurate employee records, including personal information, employment history, performance reviews, and benefits enrollment.
- Recruitment Support: Assist with the recruitment process by scheduling interviews, preparing offer letters, and ensuring new hire documentation is completed in a timely manner.
- On-boarding Coordination: Assist with new hire onboarding, including preparing onboarding materials, coordinating orientation sessions, and ensuring a seamless transition for new employees.
- Benefits Administration Support: Assist with benefits enrollment, updates, and provide general support for employees' benefits-related questions.
- Payroll Assistance: Assist with payroll processing, including timesheet management and ensuring compliance with wage and hour laws.
- Compliance & Reporting: Track training completion, update policies, and distribute employee handbooks to ensure compliance with company policies, HR procedures, and employment regulations.
- Employee Inquiries & Support: Serve as a point of contact for employees with HR-related questions, concerns, or inquiries, offering support for various HR processes.
- Dispute Resolution: Assist in handling workplace disputes, maintaining a neutral stance, and escalating issues to HR leadership when necessary.
REQUIRED EDUCATION AND EXPERIENCE:
- Education: High school diploma or equivalent required; an Associate's degree or Bachelor's degree in Business Administration with a concentration in Human Resources or a related field is preferred.
- Experience: Minimum of 1-2 years of experience as an HR Administrative Assistant or in a similar administrative support role within HR.
- Skills & Knowledge:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and HRIS software.
- Knowledge of HR laws, regulations, and best practices is beneficial.
- Strong organizational and time management skills with the ability to multitask effectively.
- Exceptional written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion and professionalism.
WORK ENVIRONMENT:
This role is office-based, working in a clerical or administrative environment. Standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines are used regularly.
PHYSICAL DEMANDS:
The HR Admin role is primarily sedentary, requiring prolonged sitting. Occasional filing tasks may require lifting files, opening filing cabinets, and standing or bending to file documents.
